Job Description

ServiceNow’s Global Partnerships & Channels (GPC) organization extends the impact of its AI platform through a worldwide ecosystem of strategic, technology, cloud, service, and solution partners.

The Executive Administrative Assistant (EAA) is a trusted administrative partner to the GPC Leader, helping maximize the effectiveness, productivity, and operating capacity of a global executive. This AI-forward role combines exceptional executive support with AI-enabled Executive Assistant tools, automation, and modern productivity practices.

The GPC Leader works at a fast pace across global executives, customers, partners, industry leaders, and employees. Priorities can shift rapidly, requiring agility, sound judgment, precision, discretion, and the ability to maintain continuity across a changing agenda.

The EAA is a critical enabler of GPC’s mission, creating focus, connectivity, productivity, and operating leverage for the GPC Leader and leadership team. Success means increasing executive capacity, embedding AI EA technology into daily workflows, reducing administrative friction, and ensuring engagements and commitments are handled effectively.

The role is listed as flexible or remote.

Requirements

  • Certification in Certified Administrative Professional (CAP) or an equivalent administrative credential preferred.
  • 7+ years of progressive experience supporting senior executives, preferably at the SVP, EVP, or C-suite level in a global technology, high-growth, or similarly fast-paced environment.
  • Demonstrated proficiency with AI-enabled Executive Assistant (AI EA) tools and platforms; general familiarity with AI alone is not sufficient.
  • Proven experience incorporating AI EA tools into executive administrative workflows, such as complex calendar and scheduling management, meeting preparation, executive briefings, action tracking, follow-up, travel, communications, and productivity management.
  • Ability to provide specific examples of AI EA tools used, the administrative problems addressed, how tools were incorporated into daily workflows, and resulting improvements.
  • Broader proficiency with generative AI, workflow automation, and productivity technologies, including the ability to combine them with specialized AI EA tools.
  • Demonstrated success supporting a global executive operating at exceptional speed amid complex stakeholder demands and rapidly changing priorities.
  • Exceptional agility, adaptability, and flexibility, with the ability to reprioritize and execute quickly without sacrificing accuracy.
  • Exceptional attention to detail and a record of accuracy in high-volume, high-velocity executive environments.
  • Advanced ability to manage highly complex global calendars and make independent prioritization decisions with limited direction.
  • A productivity and continuous-improvement mindset, including the ability to simplify, automate, standardize, and improve executive-office operations.
  • Exceptional judgment, discretion, executive presence, and ability to manage sensitive and confidential information.
  • Strong written and verbal communication skills and confidence engaging senior executives, customers, partners, and external stakeholders.
  • A highly anticipatory working style and ability to recognize needs, understand implications, and act proactively.
  • Ability to remain composed and effective amid ambiguity, urgency, last-minute change, and competing demands.

Responsibilities

  • Demonstrate advanced, hands-on proficiency with AI-enabled Executive Assistant tools and platforms designed for executive administration and executive-office workflows.
  • Integrate AI EA tools into daily work to improve scheduling, calendar optimization, meeting preparation, briefings, action tracking, follow-up, travel coordination, communications, and executive workflow management.
  • Use AI EA capabilities to anticipate conflicts, identify dependencies, surface outstanding actions, organize priorities, and reduce administrative friction.
  • Determine which work is best handled with specialized AI EA tools, broader AI platforms, workflow automation, or human judgment.
  • Build and improve an AI-enabled administrative operating model that increases executive capacity while maintaining accuracy, discretion, responsiveness, and a strong stakeholder experience.
  • Identify inefficient administrative processes and redesign them using AI EA capabilities, automation, integrations, templates, and productivity technologies; validate AI-supported work for accuracy and confidentiality.
  • Stay current on emerging AI EA technologies and evaluate and adopt capabilities that can improve productivity.
  • Own a complex, dynamic global executive calendar and align executive time with high-value business, customer, partner, talent, and leadership priorities.
  • Make timely decisions when priorities change, anticipate conflicts and downstream implications, protect focus time, and reprioritize as needed.
  • Orchestrate internal and external executive engagements from request through preparation, execution, and follow-up, ensuring the executive has the right context, objectives, participants, materials, and logistics.
  • Track engagement commitments and follow-up, coordinate across executive offices and external organizations, and represent the GPC Leader with discretion and sound judgment.
  • Enable the GPC leadership operating rhythm, including leadership meetings, business reviews, planning sessions, offsites, talent discussions, company events, and partner engagements.
  • Partner with the Chief of Staff to translate business priorities into an effective executive cadence; maintain awareness of GPC priorities, decisions, commitments, and milestones.
  • Connect meetings, decisions, commitments, and follow-up, anticipating needs and initiating action proactively.
  • Work with the Chief of Staff, HR Business Partner, Executive Communications, Finance, Strategy, and other functions to coordinate and sequence executive priorities.
  • Coordinate executive communications, leadership forums, company events, talent engagements, organizational activities, and external commitments; build strong relationships with assistants and external executive offices.
  • Manage complex domestic and international travel, including changing itineraries, meetings, engagements, events, and associated logistics.
  • Anticipate travel dependencies, resolve issues across time zones and with limited notice, and integrate travel, meetings, preparation, and executive priorities into a cohesive plan.
  • Remain responsive when executive needs or schedule changes require flexibility outside traditional working hours.
