Job Description

The Executive Assistant Floater will provide high-level administrative support to investment banking professionals across multiple groups, including Managing Directors, Senior Vice Presidents, Vice Presidents, Associates, and Analysts.

This role is designed to offer flexible coverage to ensure seamless workflow when administrative staff are unavailable due to absences, vacancies, and workload demands. The floater is an integral part of the administrative team, adapting quickly to different working styles while maintaining a high standard of professionalism and efficiency.

Requirements

  • 8+ years of experience, preferably in financial services or professional services
  • Proficiency with Concur Travel and Expenses or a comparable travel expense system
  • Strong attention to detail and follow-through
  • Ability to work independently and anticipate the needs of senior executives
  • Highly adaptable and comfortable transitioning between different teams, personalities, and working styles
  • Strong interpersonal skills and a collaborative, service-oriented approach
  • Strong organizational skills and the ability to prioritize multiple tasks in a fast-paced environment
  • Excellent verbal and written communication skills
  • Strong problem-solving skills

Responsibilities

  • Provide executive-level administrative support, including calendar management, meeting coordination, and travel arrangements
  • Prepare and process expense reports in compliance with firm policies via Concur
  • Serve as backup coverage during absences or periods of heavy workload, seamlessly transitioning between teams
  • Quickly learn the preferences, priorities, and working styles of different bankers and teams to provide seamless coverage
  • Maintain a high level of confidentiality and discretion when handling sensitive information
