We’re seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to a team of professionals in a fast-paced office environment. Requirements
- Advanced proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, and Outlook).
- Strong calendar management and organizational skills with the ability to prioritize multiple deadlines.
- Exceptional written and verbal communication abilities.
- Experience coordinating travel and managing expense reports.
- High level of attention to detail and accuracy in all work.
- A professional, polished demeanor and the ability to handle confidential information with discretion.
- Prior experience supporting executives, attorneys, or senior professionals in a corporate or professional services environment preferred.
Responsibilities
- Provide high-level administrative support to multiple leaders and team members across various departments.
- Draft, edit, and format professional documents, presentations, and correspondence.
- Coordinate complex scheduling, including meetings, conference calls, and calendar management.
- Prepare and process expense reports and assist with billing documentation as needed.
- Manage travel logistics, including flights, hotel reservations, and dining arrangements.
- Support meeting preparation by organizing materials, coordinating technology, and ensuring smooth execution.
- Maintain organized filing systems, both electronic and physical, ensuring timely access to key documents.
- Handle incoming calls, guests, and deliveries with professionalism and efficiency.
- Assist with mail distribution, courier requests, and other office logistics.
- Partner with the Office Manager and internal teams on various administrative projects and initiatives.
