Job Description
The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
Requirements
- Bachelor's degree or equivalent experience
- Proficient in Microsoft Office suite
- Experience in managing multiple priorities, administrative coordination, and logistics
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Strong written and verbal communication skills
Responsibilities
- Calendar & Time Management: Own complex executive calendars. Prioritize time ruthlessly to ensure focus on what matters most.
- Travel & Logistics: Plan seamless multi-leg international travel, anticipate needs, manage contingencies, and always stay a step ahead.
- Meeting Execution & Follow-through: Own meeting prep, notes, and follow-up. Ensure that discussions turn into decisions and decisions into action.
- Operational Partnership: Support the Chiefs of Staff with internal reporting, planning sessions, investor/partner engagements, and process improvements.
- Expense & Records Management: Track and reconcile executive expenses, manage sensitive documents, and keep operations audit-ready.
- Project & Document Coordination: Manage collaborative timelines, polish executive documents and maintain version control across teams.
