This Executive Assistant will provide dedicated support to Founder/CEO Jeff Socha, a fast-moving, outcome-driven leader who values leverage, speed, ownership, clear thinking, and simplicity. He is direct, decisive, ambitious, and comfortable challenging assumptions, and he works best with people who can communicate concisely, solve problems proactively, and respectfully challenge him rather than simply agree. The right EA will bring strong executive presence, emotional steadiness, and the confidence to manage up while helping Jeff protect his energy and focus on the highest-value work.
The first priority is calendar mastery. Jeff’s calendar is complex and directly connected to client service, sales, leadership, personal commitments, and strategic priorities. The EA will begin by learning the existing rules, preferences, and decision logic, with more decisions escalated initially and increasing autonomy as trust and context develop. The broader role includes inbox ownership, communications, meeting preparation and follow-through, travel, local and personal logistics, Austin-based events, and continual improvement of executive workflows through systems, AI, and automation.
This is a full-time, Austin-based role that is approximately 80% remote, with less than 20% local/in-person support. Candidates must live within reasonable driving distance of 78746.
Requirements
- 5+ years of Executive Assistant experience, including at least two consecutive years directly supporting a CEO, Founder, President, or comparable senior executive.
- Financial services, wealth management, or related professional-services experience strongly preferred.
- Must live in the Austin area within reasonable driving distance of 78746 and be available for occasional local/in-person support.
- Strong D/C blend: able to combine D-style assertiveness, pace, confidence, and ownership with C-style precision, structure, accuracy, and exceptional attention to detail.
- Strong executive presence and confidence managing up, asking direct questions, respectfully pushing back, and handling candid feedback without becoming rattled.
- High agency and low friction; able to figure things out and move work forward without waiting for step-by-step direction.
- High cognitive horsepower; learns quickly, processes complex information, connects dots, and retains context without repeated explanation.
- Exceptionally detail-oriented without sacrificing speed.
- Highly reliable; follows through consistently, closes loops, and communicates early when something changes.
- Anticipatory and proactive; looks ahead and identifies potential issues before they reach the CEO.
- Excellent concise written and verbal communication skills.
- Adaptable enough to work within established systems and playbooks without becoming rigid when priorities change.
- Technology-forward and comfortable using AI, automation, and systems to improve executive workflows.
- Comfortable working across Microsoft 365, Zoom, SharePoint, OneDrive, and learning systems such as Redtail, SCFiles, and Calendly.
- Comfortable with approximately 40+ hours per week, occasional after-hours responsiveness, occasional business travel, and evolving responsibility.
- Willing to become a Texas notary if requested.
Responsibilities
- Become the master scheduler for Jeff’s complex calendar, balancing client, prospect, internal, strategic, personal, and travel priorities.
- Review the calendar daily and look ahead to identify conflicts, missing context, insufficient buffers, and potential problems before they reach Jeff.
- Confirm appointments, pursue incomplete scheduling requests, manage reschedules, and ensure every meeting contains the appropriate links, materials, context, and logistics.
- Protect focus time, breaks, and energy while helping control unnecessary access to the CEO’s calendar.
- Maintain call lists, action items, homework, and necessary time blocks.
- Provide clear next-day briefings and ensure meetings and commitments have defined next actions.
- Triage and ultimately take ownership of the CEO’s inbox, surfacing urgent items, organizing communication, drafting responses, and identifying decisions needed.
- Monitor calls, email, Teams, and other inbound communication and redirect conversations to the appropriate person or channel.
- Serve as a communication bridge between Jeff, clients, prospects, leadership, and the broader team.
- Close loops consistently by communicating what happened, what happens next, who owns it, and by when.
- Communicate concisely and directly while adapting tone and approach to the audience.
- Prepare Jeff for selected meetings with the appropriate files, notes, context, and follow-up.
- Provide occasional personal and local support when it protects the CEO’s time, including mail, pickups/drop-offs, errands, and other logistics.
- Serve as a local point person for Austin-based company events and all-hands gatherings.
- Support occasional travel and take on increasing travel-planning responsibility.
- Use AI, automation, and technology to reduce repetitive work and continually improve executive workflows.
