Job Description
HotSpring Spas is seeking an Executive Assistant to support the President/CEO in Clive/Des Moines, Iowa. This will be the CEO's first Executive Assistant, so this is not a role where someone walks into a polished executive office and inherits established systems. The right person will help build the role, create structure around the CEO, establish better boundaries and systems, and develop the executive-assistant partnership alongside him.
Must have substantial, direct Executive Assistant-to-the-CEO experience. This person needs to know high-level executive support so well that they can not only perform it, but also coach the CEO on delegation, decision rights, communication, boundaries, and how to work effectively with an EA.
Requirements
- Significant Executive Assistant experience supporting a senior executive in a complex, fast-moving environment.
- Strong organizational and systems-building skills; able to create structure where little currently exists.
- Confident managing up and comfortable teaching an executive how to delegate and use an EA effectively.
- Strong judgment and the confidence to respectfully say, “No,” “You don’t need to be involved,” or “I’ve got this” when appropriate.
- Able to establish boundaries around executive access while maintaining strong internal relationships.
- Highly reliable with excellent follow-through and the ability to turn conversations, notes, emails, and loose commitments into clear action.
- Comfortable working with an executive who prefers conversation and visual information over highly structured written systems.
- Excellent adaptive communication skills across different personalities, departments, and leadership styles.
- Calm and flexible during genuinely intense or high-volume seasons.
- Proactive, anticipatory, and comfortable operating without a perfectly defined lane or established playbook.
- Strong integrity and transparency; trust is critical in this role.
- Technology-forward and interested in using AI, automation, and better systems to improve administrative and executive workflows.
- Comfortable providing practical personal support when it protects the CEO’s time.
- Must be comfortable working primarily on-site in Clive/Des Moines and occasionally supporting needs at other HotSpring locations.
Responsibilities
- Own and strategically manage the CEO’s calendar, helping determine what truly requires his time and attention.
- Take control of a very high-volume inbox and establish sustainable systems for communication and follow-through.
- Create organization around the CEO’s commitments, meetings, notes, decisions, deadlines, and action items.
- Reduce unnecessary interruptions and establish appropriate boundaries around access to the CEO.
- Identify work and decisions that do not require the CEO and redirect or resolve them appropriately.
- Build practical systems that work with the CEO’s actual habits rather than forcing rigid processes he will not use.
- Capture decisions and next steps from verbal conversations and translate them into reliable follow-through.
- Serve as a communication bridge across leadership and departments, helping ensure people have the information they need.
- Manage travel, expenses, appointments, logistics, and practical personal support such as errands, returns, meals, and gifts when it protects the CEO’s time.
- Use AI, automation, and technology to improve workflows and eliminate unnecessary administrative work.
- Help develop stronger executive-office systems, administrative standards, and cross-training as the role matures.
- Potentially grow into broader executive-office leadership, systems improvement, special projects, and future administrative-team leadership as the business and role evolve.
