Job Description
Under limited supervision and in accordance with established policies and procedures, the Executive Assistant provides high-level administrative and strategic support to the President and Chief Executive Officer of The WNET Group. This role serves as a trusted partner to the CEO by managing priorities, facilitating communication, coordinating key initiatives, and ensuring the smooth operation of the Executive Office.
The Executive Assistant handles highly sensitive, confidential, strategic, and proprietary information and exercises exceptional judgment, discretion, and professionalism. As a primary representative of the Office of the President and CEO, this position interfaces with the Board of Directors, senior leadership, donors, government officials, community leaders, and external stakeholders.
The ideal candidate is a proactive, resourceful professional who can anticipate needs, manage competing priorities, and operate effectively in a fast-paced, high-profile environment. This position requires an onsite presence five days per week.
The WNET Group offers competitive salaries, excellent benefits, and a supportive working environment. The compensation range for this position is $120,000 to $135,000, commensurate with skills and experience.
Requirements
- Minimum of ten (10) years of progressively responsible executive administrative experience supporting a CEO, President, C-suite executive, or comparable senior leader.
- Experience supporting a Board of Directors and executive leadership team strongly preferred.
- Exceptional organizational, planning, and project management skills with the ability to manage multiple priorities and competing deadlines.
- Strong critical thinking, problem-solving, and decision-making abilities.
- Demonstrated ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to build effective relationships and work collaboratively with individuals at all organizational levels as well as external stakeholders.
- Proven ability to operate independently, anticipate needs, and resolve issues proactively.
- Strong attention to detail and commitment to accuracy.
- Advanced proficiency in Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
- Ability to thrive in a fast-paced, dynamic, and highly visible environment.
Responsibilities
- Manage and prioritize the President/CEO's complex calendar, appointments, meetings, travel, conferences, and special events.
- Anticipate the President/CEO's needs by identifying scheduling conflicts, preparing materials, and coordinating follow-up actions.
- Coordinate and manage all travel arrangements, including transportation, lodging, itineraries, and related logistics.
- Draft, edit, proofread, and prepare correspondence, reports, presentations, speeches, briefing materials, and other communications on behalf of the President/CEO.
- Screen and prioritize incoming communications, correspondence, and requests, exercising independent judgment regarding appropriate action and response.
- Manage the President/CEO's office operations, records, and files while ensuring confidentiality and data security.
- Serve as a liaison between the President/CEO, Board members, senior leadership, and key stakeholders.
- Prepare presentations, reports, and supporting materials for Board meetings, fundraising activities, strategic planning sessions, and executive leadership meetings.
- Maintain professional and responsive communication with Board members and other high-level stakeholders.
- Coordinate special projects and strategic initiatives on behalf of the President/CEO, tracking deliverables, deadlines, and outcomes.
- Collaborate with departments across the organization to gather information, monitor progress, and facilitate communication regarding executive priorities.
- Build and maintain positive working relationships with donors, community leaders, government officials, business partners, and external constituents.
- Represent the Office of the President/CEO with professionalism, discretion, and sound judgment.
- Receive and welcome visitors, ensuring a professional and positive experience.
- Assemble and organize materials required for meetings, presentations, and executive decision-making.
- Maintain accurate records, reports, and documentation related to executive office activities.
- Perform other duties and special assignments as required to support the President/CEO and organizational objectives.
