Job Description

Optum NJ is seeking an Executive Assistant to provide senior-level administrative support to managers and leadership. Optum is a clinician-led care organization within UnitedHealth Group focused on improving healthcare for everyone.

This fast-paced role includes calendar management, meeting coordination, travel arrangements, document preparation, expense tracking, communications, and coordination of building and equipment maintenance. The position requires strong multitasking, attention to detail, and excellent organizational skills.

The role may be performed remotely from anywhere within the United States. Employees hired in the Minneapolis or Washington, D.C. area must work in the office at least four days per week. Candidates living in New York, New Jersey, or Connecticut will be prioritized.

This is a full-time position offering an hourly pay range of $20 to $36, based on factors including location, education, experience, and certifications.

Requirements

  • High school education or equivalent experience
  • 2+ years of administrative support to leadership in a corporate setting
  • Experience working in a fast-paced, matrix organization
  • Experience working independently and under pressure while handling a wide variety of activities and confidential matters with tact and discretion
  • Experience handling all aspects of meeting production and organization, including creation of PowerPoint presentations, scheduling, catering, and room preparation
  • Proficient in Microsoft Office, including Word, Excel, Outlook, and PowerPoint
  • High degree of personal integrity and solid interpersonal skills
  • Exceptional attention to detail
  • Ability to provide high-quality, consistent services to various leaders within the department
  • Preferred: Experience working within a healthcare setting
  • Preferred: Experience working for a Fortune 500 company
  • Preferred: Experience booking business travel following company guidelines and recommendations

Responsibilities

  • Provide primary support to leadership with scheduling, meetings, expenses, and travel
  • Maintain and communicate sensitive or confidential information in accordance with internal policies and procedures
  • Manage active calendars, resolve scheduling conflicts, and prioritize effective time management for executives
  • Create, prepare, and distribute meeting materials
  • Maintain charitable and community relations, promotional items budgets, and sponsorships
  • Ensure resources and technology are set up and working for meetings
  • Make travel arrangements for leadership
  • Plan and coordinate broker meetings and external events as needed
  • Organize logistics for large or offsite events using internal resources as needed
  • Compile and integrate information needed to complete reports and documents
  • Prepare or format office documentation for various audiences
  • Post relevant documentation to applicable systems and communication boards
  • Maintain and distribute broker email and address mailing lists
  • Utilize Microsoft 365 software and other applications
  • Monitor and oversee internal office communications
  • Assist with onboarding new employees as needed
  • Maintain and update office and distribution lists
  • Consult and communicate with internal and external customers to identify and provide resources
  • Research and provide information to respond to requests in a timely manner
  • Occasionally assist with reviewing and approving timecards, employee reviews, and feedback
