Job Description
A full-time remote opportunity for an Executive Assistant to support the founder of a New York-based nursing home management company. The role is open to candidates based in South Africa or Latin America.
The Executive Assistant will provide high-level administrative, operational, and personal coordination support. The position is scheduled Monday to Friday, 9:00 AM to 5:00 PM Eastern Time, with an ASAP start date.
Compensation is $2,000–$2,500 USD per month. C1-level English is required, and the selected candidate will communicate strictly in English during the shift. Applicants must submit a resume and a publicly accessible 30–90-second English audio or video introduction, as well as a screenshot of an internet speed test.
Requirements
- 2 to 5 years of proven experience supporting senior executives or business owners in a high-level administrative capacity.
- Native or first-language-level English fluency (C1 required), with polished verbal and written communication.
- Strong critical thinking and problem-solving skills, with the ability to propose structured solutions rather than rely solely on direct instruction.
- Adaptability and ownership when balancing executive support with operational and personal coordination tasks.
- Hands-on experience with AI productivity tools, particularly Claude, or the ability to adapt quickly to using them for drafting, data formatting, and process creation.
- Ability to work reliably with secure systems for sensitive business records, credential managers, and spend-controlled purchasing tools.
- Preferred: Familiarity with or willingness to obtain HIPAA awareness or compliance training.
- Preferred: Experience in healthcare administration, medical staffing, or facility management.
- Must submit a resume, a publicly accessible 30–90-second English audio or video introduction, and a screenshot of internet speed test results.
Responsibilities
- Triage high-volume email, manage complex scheduling, protect the executive’s time, and flag urgent action items.
- Coordinate end-to-end travel logistics, including flights, ground transport, and itineraries.
- Support employee onboarding, including benefits administration, health insurance enrollment, and 401(k) setup coordination.
- Track medical and facility license renewals, deadlines, and compliance documentation.
- Maintain, structure, and optimize operational spreadsheets and dashboards to provide visibility into company metrics.
- Document recurring workflows as standard operating procedures and use Claude or other AI tools to improve administrative processes.
- Communicate with vendors, coordinate and schedule provider interviews, and systematically follow up on outstanding deliverables.
