We are looking for a solutions-driven, detail-oriented, organized Executive Assistant to support our Communications and Marketing leadership team in Toronto, New York, and beyond. Reporting to the EA Manager, this person will work cross-functionally and provide high value and impact to the leadership team and the company as a whole.

This role is ideal for someone who thrives in a dynamic, collaborative, and fast-paced environment and is interested in joining a company in growth mode. Candidates should be based in the Eastern timezone, such as Toronto or New York.

Requirements

  • Have 3 - 7 years of experience working as an Executive Assistant, Administrative Assistant, or equivalent experience.
  • Anticipate others’ needs and work proactively to address them.
  • Have previous experience partnering with senior leaders in a fast-paced, growing, innovative environment.
  • Have experience managing multiple calendars, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules.
  • Be based in the Eastern timezone, such as Toronto or New York.

Responsibilities

  • Manage the day-to-day schedules for the Communications and Marketing leadership team, including calendaring, booking meetings, and managing other commitments to ensure a balanced and efficient workday.
  • Coordinate internal and external meetings, including one-on-ones and partner meetings, and assist with documentation required in conjunction with meetings.
  • Arrange international and domestic travel and logistics for the leadership team, including booking flights and accommodations, scheduling, and expense reconciliation.
  • Identify new ways to add value and proactively take on tasks that help the leadership team become more productive.
  • Optimize operations and processes and share ideas with the team.
  • Support special projects such as team events, offsites, and community-building activities.
  • Communicate effectively with internal and external stakeholders while maintaining strict confidentiality.
  • Create and maintain internal documentation, share knowledge, and format communications for the leadership team.
