Figma is seeking an Executive Assistant to support the Chief People Officer and VP, Talent by strategically managing the day-to-day administrative and operational needs of the People organization, while contributing to projects and initiatives that drive company priorities.

The successful candidate will keep leaders and teams organized and aligned, help them maintain focus while scaling for growth, infuse Figma’s culture and values into the work, and collaborate cross-functionally with the broader People organization and stakeholders across Figma.

This is a full-time role based out of Figma’s San Francisco hub.

Figma offers a competitive benefits package, equity, and an annual base salary range of $153,000 to $269,000 USD.

Requirements

  • 7+ years of experience in a senior administrative support role
  • Experience working in a fast-paced environment with the ability to adapt quickly to changing demands
  • Outstanding communication skills and the ability to connect with a broad spectrum of internal and external stakeholders, both in person and online
  • Ability to shift gears and prioritize based on volume and urgency while anticipating needs and connecting dots across competing demands
  • Proven track record of maintaining confidentiality and sound judgment in sensitive situations
  • Experience supporting executives at the VP or C-suite level
  • Experience with Figma’s product suite is a plus
  • Experience supporting teams of 100+ people, particularly complex global teams, is a plus
  • Previous experience supporting People or Recruiting teams is a plus

Responsibilities

  • Support executives with calendars, travel, meetings, agendas, preparation, tasks, notes, and emails
  • Serve as a strategic thought and execution partner to executives and their leadership teams, with a focus on team cohesion, operations, and planning
  • Identify opportunities to optimize executives’ time and make recommendations regarding time management, prioritization, and business needs
  • Partner cross-functionally with the People Team and other internal teams to ensure alignment on projects, company milestones, and internal events
  • Provide ad hoc project management support as needed
  • Act as a delegate by signing off on expenses, approving purchase orders, and managing other tools in accordance with internal policy
  • Find opportunities for process optimization across team and company workflows
  • Prepare and build content, presentations, and key documents for leaders
