Job Description

UHNW principal is seeking a highly polished, proactive, and service-minded Executive Personal Assistant to provide seamless day-to-day support across personal, household, travel, scheduling, lifestyle, and philanthropic operations. This is a dynamic, fast-paced role for someone who thrives in an ever-evolving environment and enjoys being deeply involved in both the logistical and creative aspects of a principal’s life.


The ideal candidate is exceptionally organized, discreet, emotionally intelligent, and solutions-oriented with a calm, positive presence. This person should be adaptable, collaborative, detail-driven, and capable of anticipating needs before they arise. A true “no task too small” mindset is essential, along with the ability to manage multiple priorities with grace, professionalism, and efficiency


Open to Hybrid/Remote candidates who are able to readily travel with principal



Requirements

Qualifications

  • Minimum 10+ years of experience supporting C-level executives, celebrities, founders, or UHNW principals in a similar capacity
  • Experience working within private homes, family offices, or multi-property environments strongly preferred
  • Proven ability to manage competing priorities in fast-paced, high-pressure environments
  • Exceptional organizational, communication, and multitasking skills
  • Highly discreet with excellent judgment, professionalism, and emotional intelligence
  • Strong proficiency with Microsoft Office, Apple/iOS products, Dropbox, OneDrive, and cloud-based platforms
  • Experienced managing complex domestic and international travel logistics
  • Service-oriented with a flexible, adaptable, and proactive approach
  • Ability to remain calm, polished, and resourceful under pressure
  • Comfortable handling confidential information with the utmost discretion
  • Flexible schedule and availability to support the principal as needed


Responsibilities

Responsibilities


Executive and Personal Support

  • Manage complex and ever-changing calendars, appointments, schedules, and agendas with precision and discretion
  • Coordinate personal, household, and family scheduling needs as requested by the principal
  • Handle personal errands, gifting, procurement, luxury purchases, and hard-to-source requests
  • Prepare the principal for meetings, appointments, and engagements by ensuring all necessary information and materials are organized in advance
  • Maintain daily and weekly reminders, deadlines, links, and follow-up items
  • Support confidential projects, research assignments, and special initiatives as needed
  • Execute and maintain NDAs, contracts, and confidential documentation
  • Maintain organized records, databases, travel documentation, and key household information

Travel and Lifestyle Management

  • Coordinate complex domestic and international travel arrangements, including private aviation, commercial flights, accommodations, itineraries, transportation, and travel logistics
  • Manage wellness schedules, practitioner appointments, and related coordination
  • Plan and oversee private dinners, entertaining, family gatherings, and seasonal events with strong attention to detail
  • Partner closely with the principal to support evolving lifestyle, creative, and operational needs

Public Relations and Appearance Coordination

  • Coordinate with PR representatives, stylists, glam teams, and external vendors for appearances, interviews, events, and shoots
  • Manage scheduling and logistics for hair, makeup, wardrobe, styling, fittings, and related appointments
  • Track incoming and outgoing designer garments, accessories, and fine jewelry while maintaining proper documentation and protocol
  • Assist with social media coordination, collaboration shoots, content scheduling, and related deliverables
  • Coordinate giveaway fulfillment and shipping as needed

Philanthropic and Event Support

  • Assist with planning and logistics for philanthropic events and appearances
  • Coordinate travel, accommodations, glam setup, fittings, photography, and event preparation for the principal and family members
  • Provide onsite support during multi-day events and engagements
  • Oversee post-event returns, shipments, and organization of wardrobe and accessories

Financial and Administrative Support

  • Prepare and reconcile monthly expense reports and credit card statements
  • Coordinate contracts, invoices, and payments alongside the business office or accounting team
  • Maintain accurate records related to executive and family travel expenses

Property and Relocation Support

  • Research and evaluate temporary residences, production locations, or travel accommodations
  • Provide detailed property summaries including photos, videos, and recommendations
  • Research schools, children’s activities, and local resources during relocations or extended stays
