Job Description

The Executive Assistant to President will provide high-level administrative support, ensuring the smooth operation of daily activities and strategic initiatives. This team is looking for a true executive support when it comes to streamlining calendars, coordinating travel, leading projects, building relationships with clients, and eventually overseeing the more junior administrative staff.

This opportunity is with a well-established and reputable investment and merchant banking firm that is headquartered in NYC with offices globally. This role is in office in Midtown 4 days a week.

Requirements

  • 5-10 years of executive support experience, ideally in the financial services sector
  • Strong organizational and time-management skills to handle multiple priorities effectively.
  • Exceptional written and verbal communication abilities.
  • Proficiency in office software and tools, including calendar management systems and presentation software.
  • A high level of professionalism and discretion in handling sensitive information.
  • A proactive approach to problem-solving and a keen attention to detail.

Responsibilities

  • Provide direct administrative support to the President, including managing schedules, meetings, and travel arrangements.
  • Act as the primary point of contact for internal and external stakeholders on behalf of the President.
  • Prepare and edit correspondence, reports, and presentations with a high level of accuracy and attention to detail.
  • Coordinate and manage special projects, ensuring timely completion and alignment with organizational goals.
  • Maintain confidentiality in handling sensitive information and documents.
  • Facilitate communication and collaboration across departments to support the President's initiatives.
  • Monitor and prioritize emails, calls, and other forms of communication for the President.
  • Assist with event planning and execution as needed.
  • Build relationships with clients and support investor relations initiatives on behalf of the President and her wider team.
  • Manage some personal calendaring and travel on an ad-hoc basis.
