Job Description

Home Planet Fund (HPF) is a 501(c)(3) supporting Indigenous, community-led, nature-based solutions to the climate and biodiversity crisis, funding partners directly with sizable, long-term, no-strings-attached grants, often in remote or ecologically fragile places others deem too difficult to reach. HPF was launched with $20MM in seed funding from Patagonia, and every dollar donated supports work led by its partners.

As Executive Coordinator, you'll be a central presence in keeping HPF running, splitting your time between supporting the Executive Director and Board directly and coordinating across the broader team (Communications, Finance and Operations, and Programs and Grants). This is a small, deeply passionate team doing work that matters, and as HPF grows into its own office space, this role becomes the connective tissue holding operations, leadership, and the Board together. Requirements

  • 5+ years of experience as an executive assistant, executive coordinator, chief of staff, or similar role
  • Experience supporting a senior executive with calendar management, travel/expense coordination, and board-level logistics
  • Experience planning in-person meetings, retreats, or events end to end, including multi-attendee travel and venue/catering management
  • Comfort handling financial documents (checks, expense reports, donor correspondence) with accuracy and discretion
  • Highly organized, able to manage competing priorities across multiple teams without constant direction
  • Based in or within reasonable driving distance of Ventura, CA, with ability to work from HPF's office roughly once every two weeks
  • Experience with vendor management, contracts, or office operations is a plus
  • Proficiency with common productivity and collaboration tools; DocuSign experience is helpful
  • Lived or working experience with Indigenous Peoples in the Americas or local communities globally is a plus

Responsibilities

  • Manage the Executive Director's calendar, travel, expenses, and day-to-day logistics
  • Lead Board meeting logistics, note-taking, records, and end-to-end planning for the annual in-person Board meeting
  • Serve as office manager for HPF's Ventura, CA office, including lease, vendors, supplies, and equipment
  • Process incoming donor mail and coordinate donor acknowledgments and mailings
  • Support the Programs and Grants team with scheduling, meeting prep, note-taking, and tracking follow-up items on proposals, reports, and partner communications
  • Support the Finance and Operations team with budget-related coordination, including salary management workflows
  • Support the Communications team with logistics for the Executive Director's speaking engagements and podcast opportunities
  • Help identify and build tools and processes that make the team more effective across functions
