Job Description

The Patrick J. McGovern Foundation (PJMF) is a philanthropic organization dedicated to advancing artificial intelligence and data science solutions to create a thriving, equitable, and sustainable future for all. PJMF works in partnership with public, private, and social institutions to drive progress on pressing challenges, including digital health, climate change, broad digital access, and data maturity in the social sector.

The Executive Assistant supports both the CEO and the President across all aspects of their portfolios. The role involves working across the organization and with key external partners and stakeholders as a trusted liaison while managing a diverse range of administrative duties. The ideal candidate is a detail-oriented self-starter with experience supporting high-level executives in dynamic, high-energy, high-growth environments and a strong commitment to PJMF’s mission.

This is a 100% remote position, with working hours aligned to either U.S. Central or Eastern time. Applicants must be authorized to work for any employer in the U.S.; visa sponsorship is not available.

The starting salary range is $75,000–$90,000 annually. Requirements

  • Bachelor’s degree and 3+ years of professional experience supporting senior executives.
  • Experience working in fast-paced, high-growth settings and the ability to adapt quickly to changing priorities and demands.
  • Ability to work hours aligned with either U.S. Central or Eastern time.
  • Demonstrated ability to prioritize, multitask, manage complex to-do lists, incorporate new information, and meet deadlines.
  • Ability to learn and adapt quickly to new technologies and systems; familiarity with G-Suite, Slack, Canva, and Asana is preferred.
  • Familiarity with AI tools is strongly preferred.
  • Strong judgment, decision-making skills, individual agency, and the ability to determine what requires shared decision-making versus autonomous handling.
  • High communication and trust with principals, along with respectful and dignified interactions focused on mission and purpose.
  • Commitment to continuous performance improvement and enhancing efficiency and effectiveness.
  • Ability to build and maintain relationships with staff, board members, external partners, and diverse stakeholders using tact and diplomacy.
  • Excellent written and verbal communication skills.
  • Exceptional organizational skills, attention to detail, and ability to manage multiple projects in a fast-paced, changing environment.
  • High tolerance for ambiguity and ability to adapt to changing priorities, strategic frameworks, and definitions of success.
  • Desire to work remotely while collaborating with mature, socially minded professionals.
  • Authorization to work for any employer in the U.S.; no visa sponsorship is available.

Responsibilities

  • Maintain an overview of fast-paced workstreams, track multiple details, and organize information about projects and stakeholders.
  • Manage high-volume internal and external information flows from multiple sources.
  • Edit and prepare memoranda, talking points, letters, and other communications on behalf of the principals.
  • Organize and support meetings, including document gathering, in-person and virtual logistics, and minute-taking as requested.
  • Assist with reviewing presentations and reports.
  • Organize and consolidate high-quality briefing materials for meetings and public appearances.
  • Maintain calendars and schedule meetings, appointments, speaking engagements, and travel arrangements.
  • Coordinate domestic and international travel arrangements, including flights, hotels, transportation, meeting and conference logistics, and expense reporting.
  • Ensure travel plans are seamlessly executed and aligned with the principals’ schedules.
  • Assist with planning and organizing internal and external meetings involving the principals.
  • Coordinate with stakeholders to ensure event details are managed and expectations are met.
  • Handle sensitive, complex, and confidential information with professionalism and discretion.
