Job Description

DanceOne is the leading platform for world-class dance events and experiences and the largest holding company of dance brands in the world. The company serves hundreds of thousands of dancers each year and operates collaboratively across Corporate, Tours, Production, Warehouse and Driver Operations.

The Executive Assistant to the CEO is the operational right hand to DanceOne's Chief Executive Officer and a central member of the Office of the CEO. This individual will manage the CEO's calendar, inbox, travel and daily priorities while supporting the operating rhythm of the executive office.

The role includes coordinating Board and investor activities, supporting Executive Leadership Team meetings, maintaining visibility into strategic priorities, tracking key decisions and commitments, and ensuring critical follow-ups move to completion.

The Executive Assistant will serve as a trusted gatekeeper and partner-facing extension of the CEO's office. The role requires exceptional judgment, discretion, attention to detail and follow-through, as well as the ability to anticipate needs, operate calmly in a fast-changing environment and create leverage for the CEO.

This is a remote, full-time position requiring Central Time availability, with Texas strongly preferred. The schedule is Monday through Friday during core Central Time business hours, with occasional evenings, weekends and travel of up to 15% for events, leadership meetings and Board meetings.

Requirements

  • Three or more years of experience as an Executive Assistant, Administrative Coordinator or similar role supporting a senior executive.
  • Dance industry background preferred, including experience as a competitive or pre-professional dancer, studio owner or staff member, choreographer, teacher, or event and convention staff member.
  • Based in the United States and able to work core business hours in the Central Time zone; Texas strongly preferred.
  • Proven track record managing a complex, changing executive calendar across multiple time zones.
  • Experience supporting or coordinating Board, investor or executive leadership meetings, including agendas, pre-reads and follow-up tracking.
  • Excellent written communication skills and ability to draft polished, on-brand correspondence on an executive's behalf.
  • Proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint and Teams, and ability to learn new systems quickly.
  • Demonstrated discretion handling confidential personnel, financial, legal and Board-level information.
  • Reliable high-speed internet, a professional remote workspace and availability for occasional evening, weekend and event travel.
  • Preferred: experience supporting a founder or CEO at a high-growth or multi-brand company, including partnership, sponsorship or client-relationship communications.
  • Preferred: experience in a Chief of Staff, Business Manager or Office of the CEO capacity.
  • Preferred: familiarity with CRM, email marketing and project management tools such as HubSpot, Salesforce, Mailchimp, Asana or Notion.
  • Strong anticipation, relationship instinct, follow-through, precision, organization under pressure, judgment, discretion and self-direction.

Responsibilities

  • Manage the CEO and COO's calendars and priorities across multiple time zones, including scheduling, confirmations, focus-time protection, conflict resolution and reprioritization.
  • Serve as a trusted gatekeeper by evaluating requests, protecting the CEO's time and determining what to handle independently, delegate or escalate.
  • Run the CEO's inbox, triaging email, identifying time-sensitive matters, drafting correspondence, flagging decisions and managing sensitive communications confidentially.
  • Coordinate travel and logistics, including detailed itineraries for flights, hotels, ground transportation, meetings and events, and adjust plans in real time.
  • Prepare the CEO for meetings by creating concise briefs and organizing agendas, data, presentations, contracts and background materials.
  • Support the Board of Directors and investors by coordinating calendars, logistics, agendas, pre-reads, presentations, approvals, minutes and follow-up actions.
  • Support the Executive Leadership Team operating cadence through meeting coordination, strategic planning sessions, operating reviews, offsites, agendas, pre-reads, decision documentation and follow-up.
  • Track strategic priorities, decisions, risks, dependencies, deadlines and commitments through confidential dashboards and action trackers.
  • Coordinate across Finance, Legal, Human Resources, Operations, Marketing, Partnerships, Sales and DanceOne's brands to gather information and move priorities forward.
  • Represent the Office of the CEO with Board members, investors, partners, sponsors, studio owners, vendors and internal leaders.
  • Manage expenses, invoices and administrative operations, including expense reports, receipt reconciliation and routing invoices and contracts for review.
  • Support DanceOne events through on-site logistics, VIP and partner hospitality, and CEO scheduling at events, conventions and championships.
  • Perform additional duties as assigned.
