Exa is building a search engine for the AI era. Its Search API powers agents, Fortune 500 companies, and AI labs. The company is a largely San Francisco-based team of approximately 100 people and has raised a $250 million Series C led by a16z.
Exa is seeking an in-person Executive Assistant to support its C-suite and broader team from the San Francisco office. This is a highly variable, high-trust role focused on operations, coordination, scheduling, and serving as the connective tissue between leadership, the team, and the physical office.
The role offers a broad view into the operations of a rapidly growing startup. The Executive Assistant will work directly alongside the CEO and executive team, maximize the founders' leverage across the organization, clear bottlenecks, and ensure that nothing falls through the cracks.

Requirements
- 2+ years of experience in operations or in a similar role
- Excellent communication and organizational skills, with the ability to engage comfortably with leadership, candidates, investors, and partners
- Strong ownership and ability to operate with little direction
- Ability to juggle multiple workstreams and fast-changing priorities
- Strong people instincts and judgment about when to step in, how to help, and when to stay out of the way
- Comfort working in a fast-moving, high-growth startup environment
- Based in or able to relocate to or commute to San Francisco
Responsibilities
- Own scheduling and calendar management for the founders, anticipate conflicts, protect focus time, and keep the day running smoothly
- Triage and manage executive communications, determining what is urgent, what can wait, and what can be handled directly
- Coordinate meetings end to end, including scheduling, agendas, follow-ups, and ensuring the right people are in the right room at the right time
- Support senior recruiting by coordinating interview scheduling and onsite logistics for leadership and executive-level candidates
- Help plan team events, offsites, and culture moments, from weekly team traditions to company-wide gatherings
- Continuously improve systems and workflows, including automating parts of the role where appropriate
- Handle unexpected tasks and ad-hoc priorities with energy and flexibility
