Job Description
The Executive Assistant provides high-level administrative, operational, and strategic support to the President/Chief Executive Officer, helping protect executive capacity and ensure organizational priorities are effectively coordinated and advanced. This position manages complex scheduling, executive communications, meeting preparation and follow-up, travel, briefing materials, and other activities requiring a high degree of organization, judgment, discretion, and initiative.
Serving as a trusted partner to the President/CEO, the Executive Assistant works closely with senior leaders and cross-functional teams to communicate priorities, coordinate information, track decisions and commitments, and help ensure leadership decisions are translated into timely action. The position requires exceptional attention to detail, confidentiality, responsiveness, and the ability to anticipate needs and maintain productive relationships in a fast-paced executive environment.
This is a full-time, remote position with a starting salary range of $80,000–$90,000 annually. The final salary offered will be based on relevant experience, qualifications, internal equity, and organizational considerations.

Requirements
- Bachelor’s degree or an equivalent combination of relevant education and professional experience required.
- Minimum of 3–5 years of progressively responsible executive or senior-level administrative support experience, including direct support for a senior executive or C-suite leader; nonprofit or law firm experience is preferred.
- Demonstrated experience managing complex executive calendars, meetings, travel arrangements, correspondence, and competing priorities.
- Experience preparing executive-level meeting materials, reports, presentations, briefings, and professional correspondence.
- Experience coordinating across senior leaders, departments, and external stakeholders in support of organizational priorities.
- Experience tracking executive decisions, commitments, action items, and organizational follow-through.
- Experience in a nonprofit, healthcare, legal, advocacy, or other mission-driven environment is strongly preferred.
- Exceptional written and verbal communication, organizational, time-management, prioritization, and follow-through skills.
- High degree of discretion, integrity, professionalism, emotional intelligence, judgment, and attention to detail.
- Ability to anticipate needs, take initiative, work with limited direction, manage changing priorities, and determine when issues require escalation.
- Ability to build trusted relationships with senior leaders and stakeholders and reinforce accountability without formal authority.
- Ability to maintain confidentiality and appropriately handle sensitive organizational, personnel, financial, and executive information.
- Flexibility to respond to time-sensitive executive needs outside standard working hours when reasonably required.
- Advanced knowledge of or experience with Google Workspace, Microsoft Office Suite, Adobe Acrobat, virtual meeting and collaboration platforms, calendar and scheduling tools, and technology supporting executive operations.
- Experience with project-management platforms and tools used to track assignments, decisions, and organizational follow-through is preferred.
- Must be able and willing to travel up to 10% of the time, including overnight and occasional weekend travel.
- No professional certification or license is required; related certifications are preferred but not required.

Responsibilities
- Manage the President/CEO’s complex calendar, including meetings, travel, events, competing priorities, scheduling needs, and conflicts.
- Prepare, edit, organize, and manage executive correspondence, reports, presentations, briefing materials, agendas, and other documents.
- Ensure the President/CEO is prepared for internal and external meetings and engagements.
- Serve as a central coordination and communication resource for the President/CEO, ensuring priorities, decisions, requests, and relevant context are communicated appropriately and on time.
- Coordinate leadership meetings by developing agendas, gathering materials, documenting decisions and action items, and facilitating follow-up.
- Track decisions, commitments, projects, and action items and follow up with responsible parties to support accountability and timely completion.
- Coordinate executive travel arrangements, itineraries, meeting logistics, related documentation, and organized executive records.
- Handle sensitive and confidential information with discretion, judgment, professionalism, and accuracy.
- Support strategic initiatives through research, information coordination, action-item tracking, and milestone monitoring.
- Anticipate executive needs and proactively identify administrative, scheduling, communication, and coordination issues requiring attention.
- Develop and maintain administrative systems, workflows, and processes that improve executive efficiency and organizational follow-through.
- Coordinate logistics for executive, leadership, board, and organizational meetings and events.
- Serve as a professional point of contact for internal and external stakeholders engaging with the Office of the CEO.
- Support preparation for public engagements, presentations, organizational meetings, and other activities involving the President/CEO.
- Support organizational and fundraising efforts and complete administrative, expense, and credit card documentation accurately and on time.
- Participate in organizational meetings, retreats, trainings, and cross-functional activities and perform other duties as assigned.
- Provide administrative coordination and functional support to staff, vendors, and others involved in activities managed through the Office of the CEO, without formal personnel-management responsibilities.
