Job Description
At Twilio, we’re shaping the future of communications with innovative solutions that help businesses and developers create personalized customer experiences. Twilio is a remote-first company with a culture of connection and global inclusion.
Twilio is seeking a highly proactive, business-minded Executive Assistant to support executives in its Enterprise Technology organization. This role goes beyond traditional administrative support: the successful candidate will develop a strong understanding of the business, technology strategy, organizational priorities, and key initiatives to anticipate needs and help leaders and teams operate effectively.
You will serve as a trusted partner to executives, proactively managing their time and attention, exercising sound judgment, taking ownership, and moving work forward amid ambiguity. The role is remote and based in Colombia, with approximately 5–10% travel anticipated for in-person connection.
Twilio offers competitive pay, generous time off, parental and wellness leave, healthcare, a retirement savings program, and other benefits that vary by location.
Requirements
- 5+ years of experience supporting senior executives in a fast-paced, dynamic environment, preferably within the technology industry.
- Ability to take ownership, operate independently, and move work forward amid ambiguity, incomplete information, and changing priorities.
- Strong business acumen and intellectual curiosity, with the ability to quickly understand organizational strategy, technology initiatives, and executive priorities.
- Ability to anticipate needs, exercise sound judgment, solve problems proactively, and make thoughtful decisions on behalf of senior leaders.
- Experience strategically managing complex executive calendars, evaluating priorities, resolving conflicts, and making informed tradeoffs.
- Ability to build trusted cross-functional relationships, partner effectively with leaders, and coordinate work across teams and initiatives.
- Exceptional organizational skills and attention to detail, with the ability to manage multiple high-priority deliverables and deadlines simultaneously.
- Strong written and verbal communication skills, including experience drafting executive-ready communications and presentation materials.
- High integrity and discretion when handling confidential, sensitive, or business-critical information.
- Experience planning and facilitating virtual, in-person, and hybrid leadership meetings, summits, offsites, and team-building events.
- Familiarity with contract management, procurement processes, budget tracking, and general business workflows.
- Proficiency with productivity and collaboration tools, including Google Workspace and Zoom.
- Interest in and experience using AI and automation tools to improve productivity, quality, or efficiency.
- Desired: Experience supporting executives or leadership teams within Enterprise Technology, IT, Engineering, Operations, or a similarly complex organization.
- Desired: Experience coordinating business operating cadences, such as Quarterly Business Reviews, annual or long-range planning, leadership team meetings, and organizational reviews.
- Desired: Internal or executive communications experience, including drafting leadership emails, organizational announcements, presentations, and program updates.
- Desired: Experience supporting projects or programs and tracking deliverables, dependencies, risks, and decisions.
- Desired: Bachelor’s degree or diploma in Business, Communications, Operations, or a related field; equivalent practical experience is also valued.
Responsibilities
- Develop a deep understanding of the Enterprise Technology organization, including its strategy, priorities, key initiatives, stakeholders, and operating rhythms, and use that knowledge to anticipate needs and inform day-to-day decisions.
- Serve as a trusted thought partner to executives, providing informed input, identifying potential risks or conflicts, and helping move priorities forward without waiting for detailed direction.
- Strategically manage complex executive calendars by evaluating and prioritizing requests, resolving conflicts, protecting time for critical work, and redirecting or delegating meetings when appropriate.
- Make sound, independent decisions on behalf of executives, including determining when their participation is needed and ensuring they are prepared with the right context, materials, and desired outcomes.
- Manage complex domestic and international travel, prepare and reconcile expenses, and proactively address changes or issues that arise.
- Serve as a key point of contact for executives’ direct reports and administrative partners, building trusted relationships and facilitating effective coordination across the organization.
- Help translate executive priorities into action by tracking commitments, following up on decisions, and driving accountability for milestones, deliverables, and next steps.
- Support key projects and initiatives by gathering information, synthesizing updates, identifying dependencies, and ensuring the right stakeholders remain aligned.
- Draft and coordinate executive communications, presentations, program updates, meeting materials, and other written content with clarity and professionalism.
- Manage leadership meeting and operating cadences, including developing agendas, coordinating presenters, preparing materials, capturing decisions and action items, and ensuring effective follow-through.
- Lead end-to-end planning and execution of executive offsites, leadership summits, strategic planning sessions, and team gatherings, including budget management, venue sourcing, agenda development, material preparation, and stakeholder coordination.
- Organize and support special events, team activities, and other high-visibility meetings through research, participant coordination, and logistics management.
- Analyze team surveys, operational information, or other inputs to identify themes and provide executives with useful insights.
- Identify opportunities to streamline workflows, improve operating practices, and create a more efficient and positive experience for executives and their teams.
- Handle sensitive information and complex situations with exceptional discretion, professionalism, and judgment.
