We are hiring an Executive Assistant with exceptional organizational skills, sound judgment, and a proactive mindset to support up to four Partners at Norm Law. This high-impact role serves as the operational backbone that enables Partners to work at their highest level.

Requirements
- Bachelor’s degree
- 5+ years of experience as an executive assistant or in a similar role supporting executives in a fast-paced environment
- Excellent organizational and time management skills, with a resourceful mindset
- Strong written and verbal communication skills
- Proficiency in Google Workspace and the ability to quickly learn new tools
- High attention to detail and accuracy
- Ability to handle sensitive and confidential information with discretion
- Proactive approach to identifying and improving inefficient processes
- Comfortable navigating changing priorities and ambiguity
- Experience in high-growth start-ups preferred
- Experience planning and managing events preferred
- Practical, hands-on AI fluency and experience using AI tools, workflows, and outcomes in day-to-day work
Responsibilities
- Manage and optimize complex calendars for one or more busy executives
- Resolve scheduling conflicts and proactively prioritize commitments
- Serve as a liaison between executives and internal and external stakeholders
- Ensure timely follow-up on requests
- Manage, prioritize, and triage incoming messages and correspondence
- Draft and edit communications on behalf of executives as needed
- Develop a strong understanding of Norm Ai’s business priorities and how they relate to day-to-day decisions
- Organize and coordinate meetings, including preparing agendas and materials
- Capture and distribute meeting minutes as needed
- Support the planning and execution of conferences, team offsites, and other events
- Arrange executive travel, including flights, accommodations, dining, and transportation
- Prepare and manage travel itineraries and related documentation
- Support office operations by ordering supplies, coordinating vendors, and keeping common areas well-stocked and organized
- Perform ad hoc administrative tasks as needed to support executive effectiveness
