Candidates should be prepared to demonstrate and discuss their AI usage throughout the interview process, including concrete examples of tools, workflows, and outcomes.

Norm Ai is hiring an Executive Assistant who brings exceptional organizational skills, sound judgment, and a proactive mindset to support up to four Partners at Norm Law. This is a high-impact role in which you will be the operational backbone that allows the Partners to work at their highest level.

This role is hybrid and will require working three to four days per week in the Washington, D.C. office. The salary range is $110,000 to $145,000 per year, excluding equity and benefits.

Requirements

  • Bachelor’s degree
  • 5+ years of experience as an EA or similar role supporting executives in a fast-paced environment
  • Excellent organizational and time management skills, with a resourceful mindset
  • Strong written and verbal communication skills
  • Proficiency in Google Workspace and ability to quickly learn new tools
  • High attention to detail and accuracy
  • Ability to handle sensitive and confidential information with discretion
  • Proactive in identifying and improving inefficient processes
  • Comfortable navigating changing priorities and ambiguity
  • Experience in high-growth start-ups
  • Experience planning and managing events

Responsibilities

  • Manage and optimize complex calendars for one or more busy executives.
  • Resolve scheduling conflicts and proactively prioritize commitments.
  • Serve as a liaison between executives and internal and external stakeholders, ensuring timely follow-up on requests.
  • Manage, prioritize, and triage incoming messages and correspondence.
  • Draft and edit communications on behalf of executives as needed.
  • Develop a strong understanding of Norm Ai’s business priorities and how they relate to day-to-day decisions.
  • Organize and coordinate meetings, including preparing agendas and materials and capturing and distributing meeting minutes as needed.
  • Support planning and execution of events such as conferences and team offsites.
  • Arrange executive travel, including flights, accommodations, dining, and transportation.
  • Prepare and manage travel itineraries and related documentation.
  • Support office operations, including ordering supplies, coordinating vendors, and keeping common areas well-stocked and organized.
  • Perform ad hoc administrative tasks as needed to support executive effectiveness.
