Lightfield is seeking an exceptional Executive Assistant to support three members of its leadership team and help the company operate exceptionally well. This broad role includes managing executive calendars and priorities, coordinating recruiting, planning events and offsites, keeping the office running smoothly, and addressing operational problems as they arise.
The successful candidate will become a deeply trusted partner to the leaders they support and an important part of how Lightfield operates. The role offers significant trust, autonomy, visibility, and the opportunity to shape company operations as Lightfield grows.

Requirements
- Highly organized, reliable, and capable of following through on owned responsibilities.
- Resourceful and self-directed, with strong judgment in ambiguous situations.
- Low ego and high ownership, with willingness to handle both high-stakes executive work and practical operational details.
- Strong written communication skills and the ability to adapt tone and detail to different audiences.
- Strong interpersonal judgment; warm, perceptive, and professional.
- Actively uses AI and automation to improve workflows, synthesize information, and eliminate repetitive work.
- 4+ years of experience supporting VP- or C-level leaders, ideally in a fast-growing company with meaningful autonomy and broad responsibility.
- Fluent with modern workplace tools, including Google Workspace, Slack, Notion, DocuSign, and calendaring tools.
Responsibilities
- Manage complex executive calendars, priorities, travel, and logistics for three leadership team members.
- Anticipate scheduling conflicts, protect important time, and make thoughtful prioritization decisions.
- Take ambiguous operational problems from start to finish by gathering context, making decisions, and closing the loop.
- Coordinate interview loops across candidates, interviewers, recruiters, and hiring managers to deliver an exceptional candidate experience.
- Plan and run company offsites, team dinners, trade shows, conferences, and community events, including venues, vendors, travel, budgets, and execution.
- Keep the office running smoothly by managing meals, supplies, deliveries, vendors, and workplace details.
- Manage travel, expenses, contracts, signatures, vendor onboarding, and other administrative work.
- Improve operational processes by building systems, automating repetitive tasks, introducing better tools, and creating scalable processes.
