Job Description
Based in central Wellington, our client is a senior in-house legal support organisation providing corporate and public sector clients with high-quality, on-demand legal services.
This is a permanent part-time role with flexible school hours and one day based from home.
Supporting a busy Director and leadership team, this is a varied and rewarding role where you will be responsible for keeping operations running smoothly behind the scenes.
About You:
You will be a highly organised, experienced and professional Executive Assistant who thrives in a professional services environment. You will have excellent communication skills, strong attention to detail, and the ability to anticipate needs before they arise.
Requirements
- Strong proficiency across the Microsoft Office Suite
- Experience working with CRM systems, ideally including HubSpot
- Excellent time management skills
- The ability to multitask
- Excellent interpersonal skills

Responsibilities
- Provide high-level executive support to the Director and leadership team, acting as the primary point of contact for all incoming communications
- Proactively manage and optimise a complex diary, ensuring priorities are scheduled effectively, conflicts are avoided, and time is protected for strategic focus
- Coordinate meetings end-to-end, including agendas, invites, supporting materials, and logistics such as venues, restaurants, and café bookings
- Organise domestic and international travel arrangements
- Draft, prepare, and manage correspondence of both general and highly confidential nature, ensuring the Director is fully briefed at all times
- Support wider HQ operations as required, including preparing reports, presentations, spreadsheets, and maintaining accurate CRM data
