AMI is looking for an ambitious and talented Executive Assistant to the CEO and senior leadership, who will sit at the epicenter of our operations, ensuring maximum leverage for our leadership team. This role goes well beyond traditional administrative support — you will be a trusted partner to our senior leaders, helping them move faster and focus on what matters most. We are looking for a proactive, detail-oriented individual with exceptional organizational, communication, and interpersonal skills.

Requirements

  • Bachelor's degree from a recognized institution, or equivalent professional experience.
  • 5+ years of Proven experience as an Executive Assistant in a fast-paced, demanding environment.
  • Exceptional organizational and time-management skills — are you the most organized person you know?
  • Strong written and verbal communication skills, with the ability to adapt tone and style for different audiences.
  • Proficient in office software and modern collaboration tools.
  • Calm and composed under pressure — you thrive in a fast-paced, high-stakes environment.

Responsibilities

  • CEO support
    • Own and optimize the CEO's schedule for maximum impact, ensuring strong alignment with company priorities.
    • Stay two steps ahead — anticipate the CEO's needs, prepare the right information at the right time, and tackle challenges proactively.
  • Board coordination
    • Drive end-to-end board coordination — scheduling, preparation of documentation, and owning logistics for board meetings.
    • Support the CFO in maintaining an organized record of board resolutions, decisions, and action items.
  • Strategic support
    • Collaborate with the CEO and senior leaders to support strategic initiatives as required.
    • Partner with our incoming COO to drive cross-functional alignment and communication.
    • Conduct research and analysis to support senior leadership decision-making.
  • Meetings & communications
    • Own logistics for key leadership meetings — prepare comprehensive agendas and ensure all materials are distributed in advance.
    • Distribute meeting minutes promptly and track action items through to completion.
    • Polish and refine documents, presentations, and reports for a range of audiences.
    • Craft compelling communications and presentations in collaboration with key company leaders.
  • Calendar & scheduling: Manage complex, competing calendars across the senior leadership team, prioritizing appointments and coordinating meetings with precision.
  • Travel coordination: Arrange and coordinate travel itineraries, accommodation and logistics for executives, optimizing for efficiency.
  • Expense management: Support senior leaders with expense reporting and timely filing.
