This role requires an exceptional individual who thrives in a high-performance environment, anticipates needs before they arise, and consistently delivers with sound judgment, discretion, and urgency.
The ideal candidate is energetic, positive, highly organized, proactive, and detail-oriented, with the ability to navigate ambiguity, solve problems independently, and create order in a constantly evolving environment. An outstanding sense of humor is essential, along with a calm, confident presence under pressure.
This role will be a strategic partner who enables executive effectiveness, protects priorities, and drives follow-through.
Requirements
- Significant experience supporting C-suite executives, ideally including a Chief Legal Officer, Chief Executive Officer, Chief Financial Officer, or similarly complex executive environment.
- Outstanding interpersonal skills, emotional intelligence, judgment, discretion, and executive presence.
- Exceptional verbal and written communication skills, with the ability to interact effectively and confidently with executives, board members, external partners, and employees at all levels.
- Demonstrated ability to manage competing priorities, make thoughtful trade-offs, and execute effectively in a fast-moving environment.
- Exceptional organizational skills, attention to detail, and ability to manage multiple workstreams simultaneously.
- Strong sense of ownership and accountability, with a proven track record of independently driving work to completion and delivering results with minimal direction.
- Highly resourceful and solutions-oriented, with the ability to navigate ambiguity, exercise sound judgment, and remain effective under pressure.
- Demonstrated passion for continuous improvement, leveraging modern technologies, automation, and AI-enabled tools to streamline workflows, solve problems, increase efficiency, and enhance executive effectiveness.
- Strong technical proficiency, including Microsoft Office (Outlook, Excel, PowerPoint), Slack, Google Workspace, and other productivity and collaboration platforms.
- Ability to handle confidential information with the highest degree of professionalism, subtlety, and tact.
- Extremely organized with exceptional follow-through and an ability to inspire confidence through consistent execution and reliability.
- Ability to maintain perspective, positivity, and a sense of humor in high-intensity situations.
- Proven ability to build trusted relationships and effectively collaborate with stakeholders at all levels across the organization.
- Thrives in a highly dynamic environment and demonstrates flexibility, responsiveness, resilience, and adaptability as priorities evolve.
Responsibilities
- Manage the CLO's complex internal and external calendars, often making real-time adjustments and ensuring priorities are effectively balanced. Use sound judgment, business context, and strong prioritization skills to make decisions and optimize the executive's time.
- Anticipate needs, identify potential conflicts or obstacles, and proactively solve problems before they arise.
- Prepare, manage, and handle highly confidential information with integrity, discretion, professionalism, and diplomacy.
- Coordinate all travel arrangements and accommodations for the CLO and leadership team, including complex domestic and international travel plans, detailed itineraries, agendas, meetings, and events involving senior leaders, government officials, and external stakeholders.
- Create and submit expense reports while proactively managing receipts and reimbursement documentation.
- Serve as a force multiplier by leveraging AI-powered tools to manage information flow, accelerate execution, improve efficiency, and enable focus on the highest-value priorities.
- Support the CLO and leadership team in meetings by capturing key actions, driving follow-up, and ensuring commitments are tracked through completion.
- Serve as the primary point of contact for matters pertaining to the CLO and leadership team, including those of a highly confidential, sensitive, or critical nature.
- Help plan, manage logistics for, and occasionally attend team offsites, leadership meetings, site visits, board meetings, and organizational events, including some domestic and international travel.
- Build strong relationships across the Legal organization and broader company, serving as a trusted resource and connector across teams and functions.
