Job Description
Flo Health is seeking a long-term Executive Assistant partner to support the Chief Marketing Officer and Chief Product Officer. This role sits close to marketing and product decision-making, ensuring both executives' time, attention, and preparation are focused on the company's highest priorities.
The Executive Assistant will serve as a strategic partner by managing complex schedules, running operating cadences, leading programs, solving ambiguous problems, and improving how work gets done through AI and automation. The role reports to the Chief of Staff and supports both marketing and product organizations, including the CPO's Virtual Clinics remit.
Flo Health is a mission-led, product-driven digital health company with more than 500 million downloads, 80 million monthly users, and 7 million paid subscribers. This is a hybrid role requiring three days per week in the London office.
The annual salary range is £72,000 to £82,000 GBP, depending on skills and experience. Benefits include performance incentives, paid leave, enhanced parental leave, professional development support, a five-week paid sabbatical after five years, and health, pension, and wellbeing perks.
Requirements
- At least 4 years of executive support or comparable professional experience, including experience supporting VP-level or higher leaders.
- Demonstrated ability to drive work independently in an ambiguous, fast-moving environment and exercise sound judgment.
- Exceptional organization, record-keeping, and documentation skills.
- Excellent writing and editing skills, including the ability to draft executive memos and presentations in different voices.
- Strong project planning and time management skills, including experience coordinating people who do not report directly to you.
- Critical and creative thinking, proactive problem-solving, and considerable judgment and initiative.
- High emotional intelligence and the ability to handle highly confidential information with discretion.
- Comfort adopting AI and automation tools quickly and sharing effective practices.
- Proficiency in Google Workspace or comparable Microsoft and Mac tools, plus Slack, Jira, or similar platforms.
- Very responsive to email, Slack, and other requests.
- Nice to have: Experience supporting a marketing, brand, or communications organization and familiarity with campaigns and launches.
- Nice to have: Experience supporting a product organization and familiarity with product planning, releases, and cross-functional delivery involving engineering and design.
- Nice to have: Formal project management experience.
Responsibilities
- Manage the CMO's and CPO's complex, changing diaries as strategic resources aligned with current priorities.
- Make scheduling trade-offs, identify conflicts early, and provide recommendations on what should be prioritized, delegated, or declined.
- Ensure both executives are prepared for meetings with the necessary context, materials, and background.
- Schedule thinking and preparation time ahead of board and leadership sessions, product launches, business reviews, marketing campaigns, press activities, and partner meetings.
- Own operating cadences for the marketing and product organizations, including leadership meetings, planning cycles, offsites, and reviews.
- Set agendas, prepare materials, capture decisions, and follow up on actions.
- Track priorities and commitments across both leadership teams and flag potential delays.
- Draft project plans, memos, status updates, presentations, and executive reports.
- Partner with Finance and People on budgets, headcount tracking, vendors, agencies, and business-unit administration.
- Keep the CMO and CPO informed about developments across their organizations while filtering unnecessary information.
- Manage external relationships for the CMO, including partners, agencies, press, and industry contacts.
- Coordinate the CPO's relationships with product, engineering, design, and Virtual Clinics stakeholders.
- Use AI and automation to eliminate repetitive work, create efficient workflows, and support projects across both teams.
- Test new tools, share effective practices with the EA team, simplify processes, and create reusable templates.
- Improve information flow across both organizations so decisions and context remain accessible.
- Run company all-hands and marketing and product team town halls end to end.
- Plan and facilitate workshops, including agendas, materials, and on-the-day coordination.
- Support culture, engagement, and recognition initiatives across both teams.
- Plan domestic and international executive travel and manage expenses, invoices, and purchase orders.
