Job Description

Modern Intelligence builds Sovereign, targeting software for unmanned systems. Manufacturers install it on UAVs, USVs, UUVs, and other unmanned vehicles. Sovereign runs on the vehicle’s computer, where it detects, classifies, and tracks targets from onboard cameras, maintains identity when imagery is disrupted, and provides terminal guidance. It continues operating when GPS is unavailable and radio communications are jammed.

Modern Intelligence has held Department of War contracts, including work with Air Force Special Operations and SOCOM, and has raised more than $12 million from leading investors.

We are seeking the first Executive Assistant to support our CTO at a rapidly growing company. This role will organize calendars, manage time, protect focus time for engineering and design activities, and provide traditional executive assistant support.

The ideal candidate will embrace AI to automate routine administrative tasks while focusing on work that requires human judgment or physical presence. The role will help prepare executives for meetings, attend meetings when the CTO cannot, capture outcomes, brief the CTO afterward, check in on the engineering team, document technical decisions and follow-ups, and provide periodic updates throughout the day.

This is an opportunity to build strong relationships across the company, especially with engineering and executive leadership, and to help define how Modern Intelligence uses executive assistants as the company grows. The work supports defense technology that identifies targets and guides munitions and is currently used on live missions.

The role offers a base salary of $80,000 to $100,000 annually, plus equity. Benefits include full medical, dental, and vision coverage for employees and their families, flexible PTO, paid federal holidays plus the last two weeks of the calendar year, and three months of paid parental leave.

Requirements

  • 3+ years supporting a senior leader as an executive assistant, or equivalent experience in a coordination-heavy role.
  • Enough technical comprehension to follow engineering meetings, distinguish issues such as being blocked on review versus blocked on hardware, and relay problems accurately without needing to solve them.
  • Strong written communication, including the ability to prepare meeting briefs and concise, accurate updates.
  • Fluency with AI tools and enthusiasm for using them to automate routine tasks.
  • Discretion when handling personnel, financial, customer, and export-controlled information.
  • Ability to work on-site in Austin, Texas.
  • Must be a U.S. person, including a U.S. citizen, lawful permanent resident, or other protected individual as defined by 8 U.S.C. 1324b(a)(3).
  • Experience supporting engineering or technical leadership preferred.
  • Experience at a startup or other small, fast-moving company preferred.
  • Fluency with Google’s office suite, including Gmail, Calendar, Drive, Docs, Sheets, and Slides preferred.
  • Familiarity with Jira, Confluence, or GitLab, or demonstrated ability to quickly learn similar tools, preferred.
  • Background in program or project coordination, such as scrum master, program coordinator, technical recruiting coordinator, or similar, preferred.
  • Experience managing executive travel booking and expense management preferred.
  • Prior defense industry experience is a plus.
  • An active or previously held security clearance is a plus.
  • Military administrative experience, particularly in a technical role, is a plus.
  • Experience supporting more than one executive at once is a plus.

Responsibilities

  • Organize the CTO’s calendar and manage time effectively.
  • Ensure the CTO has sufficient focus time for engineering and design activities.
  • Provide traditional executive assistant and administrative support.
  • Use AI tools to automate routine executive assistant tasks.
  • Attend meetings the CTO cannot attend and capture what happened for subsequent briefing.
  • Prepare the CTO and other executives before meetings.
  • Check in on the engineering team while the CTO is busy or away.
  • Build strong working relationships across the company, particularly with engineering and executive leadership.
  • Take notes in technical meetings and capture decisions and follow-up actions.
  • Provide accurate, concise periodic updates throughout the day.
  • Help establish expectations and processes for the executive assistant function as the first EA hired at Modern Intelligence.
