As Executive Assistant and Office Administrator, you will support the COO in New York and the General Counsel in Chicago while owning day-to-day operations for the NYC office. This multifaceted role is suited to someone who thrives in a fast-paced startup environment, anticipates needs, and enjoys both strategic executive support and practical office operations.
This is a hybrid role based in the New York office. The typical schedule is Tuesday, Wednesday, and Thursday onsite, with flexibility to work onsite up to five days when executives are in town, during off-sites, or for other key in-person events.

The company is distributed across North America and plans to expand into Europe, with regular coworking sessions, customer dinners, team events, and company off-sites.
Requirements
- 5-8 years of experience in an administrative, executive assistant, office coordinator, or similar role; startup, technology, or fast-paced environment experience is a plus.
- Prior experience supporting a C-level executive.
- Exceptional organizational skills, strong attention to detail, and the ability to manage multiple priorities.
- Proactive mindset with the ability to anticipate needs, solve problems independently, and follow through without being asked.
- Excellent written and verbal communication skills; professional and polished in all interactions.
- Tech-savvy and quick to learn new tools.
- Discreet, trustworthy, and able to handle confidential information.
- Bachelor's degree or equivalent practical experience preferred.
- Enthusiasm for AI and legal technology; curiosity about the company's mission is a plus.
Responsibilities
- Provide comprehensive administrative support to each executive, including complex calendar management, scheduling meetings across time zones, and coordinating internal and external stakeholders.
- Handle travel arrangements, itineraries, expense reports, and reimbursements accurately and efficiently.
- Prepare materials for meetings, presentations, and events, and follow up on action items.
- Serve as the primary office administrator for the New York location by managing office supplies, vendor relationships, facility maintenance, and workspace organization.
- Coordinate office events, team off-sites, lunches, and visitor logistics.
- Assist with onboarding new hires in the NYC office, including workstation setup, access credentials, and local orientation.
- Screen and prioritize communications, including email, phone, and Slack, on behalf of executives, responding or routing as appropriate.
- Maintain confidentiality while handling sensitive information and supporting high-stakes projects.
- Contribute to special projects and ad hoc tasks supporting company growth and operational needs.
