The Team
The Administrative Assistant provides essential support to the Executive Assistant and team, facilitating client engagement, department operations, and personnel activities.
How you will contribute
This is a hybrid position requiring 3 days per week in the office.
Requirements
- Bachelor’s degree in a relevant field is preferred but not required.
- 1–3+ years of administrative experience within professional services, consulting, legal, or corporate environments.
- Advanced skills in Microsoft Office (Excel, Word, Outlook, PowerPoint); Concur experience is a plus.
- Proven ability to handle sensitive and confidential information with high discretion.
- Exceptionally organized with strong attention to detail and consistent follow-through.
- Ability to manage multiple priorities, meet deadlines, and keep projects moving efficiently.
- Strong written and verbal communication skills for professional interaction.
- Proactive and resourceful, taking ownership of tasks, and working independently in a fast-paced environment.
- Comfortable collaborating with team members and building professional relationships at all levels.
- Eager to learn, open to feedback, and flexible regarding hours based on team needs.
Responsibilities
- Expense & Time Management: Prepare, reconcile, and submit accurate expense reports and timesheets in a timely manner.
- Travel Coordination: Arrange travel logistics, including flights, hotels, car services, and travel documentation management.
- Calendar & Meeting Support: Manage executive calendars, schedule meetings/events, and organize conference calls.
- Communication & Email Management: Assist with email prioritization, follow-ups, and departmental communication. Go through inbox and prioritize
- Subcontractor Administration: Coordinate the setup of subcontractors and monitor their payment processes.
- Onboarding & Compliance: Assist with new hire onboarding and track Continuing Professional Education (CPE) requirements.
- General Administration: Provide comprehensive office support, including handling sensitive documents, greeting visitors, and answering phones.
- Project Assistance: Collaborate on team projects, provide ad hoc support, and execute special assignments as needed.
