Our client is seeking a highly organized and proactive Executive Support & Communications Coordinator to work closely with the Founder across executive support, communications coordination, project management, and marketing support initiatives. This role is designed to help maintain structure, organization, accountability, and execution across fast-moving priorities, projects, and internal workflows.
The Executive Support & Communications Coordinator will support the Founder by managing priorities, coordinating projects, organizing communications, and ensuring ongoing initiatives move forward efficiently. This role combines executive support, workflow coordination, communications management, and marketing support within a fast-paced and execution-focused environment.

Requirements
- Experience supporting executives, founders, or leadership teams in fast-paced environments.
- Background in executive support, project coordination, communications, administrative support, or related roles.
- Experience coordinating marketing initiatives or communications workflows is preferred.
- Experience working with organizational and collaboration platforms such as Google Workspace, Slack, Notion, Canva, and CRM systems.
- Strong organizational, multitasking, and project coordination abilities.
- Excellent written and verbal communication skills.
- Strong attention to detail and follow-through.
- Ability to manage multiple priorities while maintaining structure and responsiveness.
- Comfortable drafting professional communications and organizing workflows independently.
- Proactive, execution-focused, and highly dependable.
Responsibilities
- Provide direct support to the Founder across daily priorities and ongoing initiatives.
- Manage scheduling, reminders, workflows, timelines, and task tracking.
- Draft, organize, and manage professional email communications.
- Prepare briefing notes, summaries, meeting materials, and internal documentation.
- Track action items and ensure consistent follow-through across priorities.
- Maintain organized files, resources, and operational documentation.
- Support outbound communications, follow-ups, and coordination efforts.
- Draft follow-up emails, meeting recaps, and communication summaries.
- Coordinate scheduling and communication across internal teams and external contacts.
- Maintain organized communication tracking and responsiveness.
- Ensure professionalism, clarity, and consistency across written communications.
- Coordinate onboarding and training scheduling for supplier partners.
- Organize materials, summaries, and updates for meetings and ongoing coordination.
- Support communication between suppliers, partners, and internal teams.
- Help ensure requests, follow-ups, and outstanding items are addressed promptly.
- Coordinate closely with the Founder on sensitive or non-standard situations.
- Coordinate multiple projects and maintain visibility across timelines and deliverables.
- Track deadlines, outstanding tasks, and ongoing initiatives.
- Support workflow organization and operational structure improvements.
- Help ensure accountability, responsiveness, and execution consistency across projects.
- Support execution and coordination of marketing initiatives and deliverables.
- Assist with social media scheduling, email communications, presentations, and marketing assets.
- Coordinate with designers, freelancers, and external marketing partners as needed.
- Maintain content calendars, publishing schedules, and organized marketing workflows.
- Ensure marketing materials and deliverables are completed on time.
