Job Description

Open Briefing is a mission-driven nonprofit and social impact consultancy supporting grassroots activists, community groups, social movements, nonprofits, and foundations working to challenge unaccountable power. The organisation strengthens physical safety, digital resilience, and collective wellbeing while helping communities and ecosystems thrive.

The Executive Personal Assistant will play a key role in the effective operation of the organisation and delivery of the leadership team’s priorities. The role provides comprehensive, high-level administrative and operational support to the Senior Leadership Team, helping them remain organised and focused while supporting the delivery of the organisation’s strategy.

This is a remote, home-based, full-time role of 40 hours per week on an initial 12-month fixed-term contract, with some potential travel for team meetings. The role is open to candidates based within the UK and reports to the Finance Director.

The remuneration package includes a salary of £38,551 per annum, a 7% employer pension contribution, private medical insurance, an Employee Assistance Programme, professional coaching, 25 days’ annual leave plus local public holidays, flexible working, coworking space costs, climate-action support, and an Apple MacBook Air with peripherals.

Requirements

  • You will be based within the UK.
  • Demonstrable experience working as an executive personal assistant supporting a leadership team or at a senior level.
  • Excellent written and spoken English for drafting correspondence, managing stakeholders, and preparing agendas and papers.
  • Proven organisational and time-management skills, with the ability to manage complex diaries, inboxes, competing priorities, and changing demands effectively.
  • Strong written and verbal communication skills and high attention to detail, with the ability to build effective relationships and manage senior stakeholders professionally.
  • Sound problem-solving skills and the ability to handle sensitive and confidential information with discretion.
  • Ability to work independently in a fast-paced environment with a positive and flexible approach.
  • Strong proficiency in common office, email, calendar, and communication tools.
  • Commitment to the values and mission of the organisation and sensitivity to the progressive, rights-based missions and diverse profiles of clients and stakeholders.
  • Desirable: Experience working within the charity, social enterprise, or not-for-profit sector.
  • Desirable: Project management qualifications and experience.

Responsibilities

  • Provide comprehensive executive support, including complex individual and collective diary and inbox management.
  • Support the Senior Leadership Team in achieving strategic goals, priorities, and objectives while tracking, prioritising, and delivering deadlines and deliverables.
  • Prepare agendas, reports, and presentations.
  • Draft and send correspondence on behalf of the Senior Leadership Team and its members.
  • Identify potential issues early and take proactive action to resolve them.
  • Work collaboratively across departments to support the efficient delivery of strategic goals and activities.
  • Act as an initial point of contact between the Senior Leadership Team and internal and external stakeholders.
  • Coordinate remote and in-person meetings, including scheduling, agenda prioritisation, logistics, papers, actions, and minutes.
  • Coordinate events, conferences, and stakeholder meetings.
  • Support communication with donors, advisers, clients, and partner organisations.
  • Maintain accurate records and confidential documents.
  • Manage access to third-party providers for translation, interpretation, graphic design, facilitation, and other ad hoc support.
  • Oversee purchase requests from the team.
  • Draft and track budgets and process expenses and invoices for the Senior Leadership Team.
  • Support the development and revision of relevant organisational policies and procedures under the ownership of the Finance and Operations team.
  • Partner with the Finance Director to identify learning needs and development opportunities.
  • Integrate 360-degree and regular feedback into an annual learning and development plan.
  • Implement the learning and development plan and raise concerns regarding its delivery when relevant.
