Job Description

Rwazi operates in a high-velocity, AI-native environment where clarity, follow-through, and structured thinking are essential. The Executive Assistant supports the CEO in day-to-day executive operations, including documentation, planning cadence, structured follow-ups, and internal coordination. This is a foundational role inside the CEO’s office.

While the title is traditional, the expectation is not. Rwazi is looking for someone with former founder instincts or a strong analytical pedigree who understands strategy and is comfortable operating in a support capacity without ego. The role requires intelligence, discipline, and humility.

The Executive Assistant strengthens executive execution hygiene by maintaining documentation rigor, structuring meetings into clear outputs and actions, tracking cross-functional commitments, supporting board and planning cycles, and reducing cognitive load on the CEO.

This is not a strategic leadership role, independent product or revenue ownership, or a stepping stone to immediate executive authority. The role requires comfort operating in a support function regardless of prior seniority.

Strong performance leads to clear executive decision trails, fewer dropped commitments, tighter cross-functional alignment, faster execution cycles, and increased CEO focus on strategic priorities.

Rwazi values people who think sharply but act humbly, prefer execution over visibility, take pride in structured output, care about precision, and follow through consistently. Candidates are evaluated on the clarity and structure of their written work, analytical depth, discipline in tracking commitments, comfort supporting executive workflows, and absence of ego in operational contexts.

Requirements

  • Former founder, operator, or builder experience, or a strong analytical background in consulting, finance, research, or technical environments.
  • Exceptional structured writing ability.
  • Strong analytical reasoning and pattern recognition.
  • Ability to synthesize complex discussions into clear outputs.
  • High attention to detail.
  • Ability to operate without ego in a support capacity.
  • Strong discretion and professionalism.
  • Comfort with discipline and execution over status or visibility.

Responsibilities

  • Capture high-quality, structured notes in executive and board meetings.
  • Translate discussions into clear action items with owners and deadlines.
  • Maintain organized, searchable documentation systems.
  • Draft memos, summaries, and internal briefs.
  • Support quarterly and annual planning processes.
  • Assist in preparing board decks and executive materials.
  • Maintain visibility over key company-wide priorities.
  • Ensure follow-through across functional leaders.
  • Track execution commitments across teams.
  • Follow up on deadlines and deliverables.
  • Escalate slippage early and objectively.
  • Maintain structured dashboards of ongoing initiatives.
  • Manage executive scheduling and prioritization.
  • Coordinate internal and external communications.
  • Maintain high professional standards in all outputs.
