Job Description

Xpate is an international fintech company developing solutions for online payments and financial flow management. We are looking for a Senior Personal Assistant who will take full ownership of the founder’s family operations, support his fast-paced lifestyle, and build a transparent, structured Family Office system.

Scope: 100% personal (Family Office)

Level: Senior, with a Junior Assistant reporting directly

Requirements

You’re the Right Fit If You

- Have 5+ years’ experience as a Personal Assistant or Manager in UHNW families or Family Offices;

- Know how to build systems, not just follow instructions;

- Are accountable, proactive, and able to make decisions independently;

- Have strong attention to detail, structure, and persistence;

- Are empathetic and diplomatic — can find common ground with people of different temperaments;

- Stay calm under pressure and adapt quickly to changes;

- Speak and write fluent English(C1 level). Knowledge of Russian or Latvian is a strong plus.


Terms & Conditions

- Location: London or Riga (preferred). Remote start possible with relocation after 3 months;

- Schedule: flexible hours, full availability (evenings, weekends, emergencies);

- Employment: full-time, official contract;

- Salary:up to €70,000 net per year, depending on experience;

Responsibilities

Manage Family Office Operations

- Supervise and coordinate household staff (nannies, drivers, chefs, housekeepers, contractors across multiple countries);

- Maintain budgeting, expenses, and reconciliations (salaries, invoices, taxes, insurance, purchases, home and car maintenance);

- Oversee real estate projects (purchase, sale, renovation, rental, insurance, taxes, cooperation with architects and designers);

- Manage the car fleet (insurance, servicing, cleaning, fines, driver schedules).


Planning, Organisation & Control

- Manage a multi-layered calendar (personal, family, travel, business);

- Organise travel from A to Z — tickets, transfers, visas, accommodation, meals, luggage;

- Anticipate logistics and ensure everything runs seamlessly, without reminders or founder involvement;

- Oversee household routines — deliveries, repairs, maintenance, and service providers.


Finance, Legal & Administration

- Track and reconcile expenses and payments;

- Coordinate with lawyers (residency, citizenship, contracts);

- Monitor deadlines for documents, insurances, taxes, and visas.


Communication & Task Management

- Liaise with multiple internal and external stakeholders (contractors, household staff, relatives, doctors, schools, agencies);

- Ensure tasks are completed on time — follow up, remind, and drive results.
