The Sr. Executive Assistant to the CEO is a vital role that goes beyond traditional administrative duties, acting as a strategic partner to the CEO. This position is essential for maximizing the CEO's productivity, safeguarding priorities, and enhancing organizational efficiency. As an Sr. Executive Assistant, you will manage the CEO's schedule to ensure focus on high-impact activities, anticipate needs to address issues proactively.

You will serve as a trusted partner, gatekeeper, and proactive problem-solver who handles issues before they escalate. You will minimize interruptions to ensure that only the most pressing matters reach the CEO, demonstrating your ability to manage and prioritize effectively and ensuring the CEO remains energized and focused on high-priority objectives. As the Sr. Executive Assistant, you will seamlessly handle a wide range of tasks, from strategic planning to detailed execution, maintaining influence and cohesion within the team. You will play a crucial role in promoting and upholding Patagonia’s culture and values, ensuring they are reflected in all aspects of global business. By managing systems, workflows, and people, you will enable the CEO to focus on advancing Patagonia’s purpose to save our home planet.

Requirements

  • 10+ years in a comparable Administrative or Executive Assistant role.
  • Expert knowledge of Mac and PC, MS Office Suite: Word, Excel, PowerPoint, and Outlook. In-depth knowledge of internet search applications and IT support.
  • Superior verbal, oral, written & listening communication skills.
  • Demonstrated ability to handle sensitive information with the utmost discretion and maintain confidentiality as a top priority.
  • Proven proficiency in producing high-quality reports and presentations utilizing Excel and PowerPoint.
  • Exceptional scheduling skills with a focus on setting, driving, and balancing expectations and deadlines.
  • High level of attention to detail and organization.
  • Willingness and ability to adjust to multiple demands, shifting priorities, and demonstrate flexibility.
  • Talented problem solver, solution-oriented, and highly resourceful.
  • Proven ability in assembling, compiling, analyzing, and summarizing data.
  • Able to work independently on projects, anticipate/address issues while using good judgment.
  • Ability to foster a workplace culture that encourages creativity, collaboration, and enjoyment. Provide personalized support tailored to the unique needs of each individual.


Responsibilities

  • Protect the CEO's time by managing and prioritizing appointments, meetings, and conference calls, ensuring alignment with strategic goals. Efficiently monitor, filter and organize the CEO's inboxes to ensure important emails and messages are prioritized and addressed promptly. Respond as necessary.
  • Read, research, and route correspondence; collect and analyze incoming information; draft high-quality emails, letters, presentations, and reports.
  • Facilitate communication between the CEO and direct reports, managing budgets, travel arrangements, deadlines, and meetings.
  • Provide constructive and strategic insight to the CEO, helping navigate complex decisions and challenges.
  • Prepare invoices, reports, and manage all expense reports with precision and accuracy.
  • Assist in special projects and initiatives, driving them forward with minimal supervision.
  • Coordinate complex travel arrangements that align with the CEO's strategic objectives.
  • Assist in the preparation of presentations, reports, and other materials for the CEO.
  • Provide support in preparing reports and presentations for board meetings when needed. Liaise with the board when required to ensure smooth communication and coordination.
  • Collaborate within a team for internal and external events such as town halls and global summits. Plan and organize leadership meetings and any off-site sessions. Includes venue selection, scheduling, obtaining needed supplies and catering as necessary.
  • Identify and implement process improvements to enhance operational efficiency, effectiveness, and cross-collaboration.
  • Promote and uphold the company's culture and values, ensuring they are reflected in all aspects of the global business.
  • Partner closely with the Family Office and company founders to support, collaborate, and assist as needed.
  • Cultivate strong relationships with employees from all regions, clients, partners, and stakeholders through effective communication and hospitality.
  • Keep abreast of global company resources, opportunities, events & initiatives.
  • Offer strategic advice to align communication efforts with organizational goals and brand messaging, as well as supporting external posts.
  • Provide administrative assistance for CEO’s personal tasks.
  • Foster a supportive network where assistants can discuss priorities, share updates, and coordinate efforts.
