Job Description

Viz.ai is the leader in building and deploying AI-powered Care Pathways to help doctors do their work. Its platform is deployed in 2,000 hospitals across the United States and is trusted by leading life sciences companies. It combines real-time, multimodal clinical data with clinician engagement to detect disease earlier, coordinate care teams, and help ensure patients receive the right treatment faster.

Viz.ai was the first company to be awarded CMS reimbursement for AI and is ranked the #1 Healthcare AI Platform by hospitals and health systems in the Black Book Research survey.

We are looking for a Senior Executive Assistant to support three or more senior executives on a fast-moving leadership team. This strategic, remote U.S. role protects executives’ time, keeps commitments on track, and helps them operate at the pace of a company changing how healthcare works. Executives work across the U.S. and Israel and engage with board members, hospital leaders, and pharma partners. You will partner closely with other Executive Assistants and the People Team.

Viz.ai is a remote-first company across the U.S. and EU, with a team in Tel Aviv operating in a flexible hybrid model. The role offers compensation of $105,000–$165,000, plus equity and bonus. Benefits for U.S. full-time employees include medical, dental, vision, a 401(k), generous vacation, and additional benefits. Compensation depends on factors including location, role scope and complexity, and candidate experience and expertise.

Viz.ai is an Equal Opportunity Employer. Applicants are considered without regard to any status protected by applicable law.

Requirements

  • 5+ years supporting more than one C-level executive or VP, preferably in SaaS or healthcare.
  • Proven ability to manage complex calendars, travel, and priorities for multiple executives at once.
  • AI fluency in daily work, using tools such as Claude and ChatGPT to streamline workflows and continuing to learn as they evolve.
  • Strong Google Suite skills; Slack and Brex experience preferred.
  • Excellent written and verbal communication.
  • Experience working with global, remote teams; flexible hours may be needed to cover U.S. and Israel time zones.
  • Sound judgment when handling confidential information.
  • Nice to have: experience planning executive offsites and leadership events.
  • Nice to have: experience building or documenting workflows and automations for an executive team.

Responsibilities

  • Own complex, constantly changing calendars and make priority decisions based on executives’ needs.
  • Plan domestic and international travel, including trips to hospitals, partners, and life science customers.
  • Join executive meetings, capture notes and action items, and follow up until they are complete.
  • Track executives’ priorities, commitments, and deadlines across the business, and surface risks early.
  • Help executives prepare materials using Google Suite, including Docs, Sheets, Slides, presentations, and memos.
  • Design and help run executive offsites, leadership meetings, and team events.
  • Build AI-powered workflows that reduce manual work, such as meeting summaries, briefs, and follow-up tracking, and share effective approaches with other Executive Assistants.
  • Manage correspondence, expenses, research, and logistics.
  • Handle confidential information with discretion, including sensitive people and business matters.
  • Back up other executives and support People Team initiatives as needed.
