Job Description

Citi Markets is seeking a Senior Executive Assistant to support a C16-level manager and an entire department. The role involves providing high-level administrative support in a global financial services environment, including calendar management, correspondence, meetings, travel arrangements, expense processing, and document preparation.

Requirements

  • Previous office administration experience, preferably within a large and complex financial services or similar organization
  • Highly proficient in Microsoft Office
  • Clear and concise written and verbal communication skills
  • Ability to quickly gain command of new systems
  • Self-motivated and detail-oriented
  • Bachelor's/University degree or equivalent experience

Responsibilities

  • Directly support a C16-level manager and generally support an entire department
  • Manage the day-to-day calendars of senior management
  • Coordinate executive-level appointments, meetings, receptions, and conference calls
  • Prepare and review materials and correspondence for meetings
  • Create and modify presentations, spreadsheets, and other documents
  • Coordinate travel arrangements and prepare and distribute travel schedules and agendas
  • Prepare, reconcile, and track expense reports through the Travel and Entertainment Expense system
  • Order supplies and process invoices through the Procure to Pay system
  • Process and follow up on Virtual Requests
  • Assist with ad hoc reports and special projects as needed
  • Train, coach, or guide other administrative staff when required
  • Assess risk appropriately, safeguard the firm's reputation and assets, comply with applicable laws and regulations, and escalate and report control issues transparently
