Spring Health is a global mental health company on a mission to eliminate every barrier to mental health. Its AI-native platform delivers personalized support across self-guided tools, coaching, therapy, medication management, and specialty care.
Reporting to the Senior Manager of the Executive Support Team, the Senior Executive Assistant will provide high-level administrative and strategic support to ensure executives can operate at maximum effectiveness. This individual will anticipate needs, manage complex priorities, and act as a trusted partner in facilitating communication, decision-making, and execution across the organization.
This is a full-time, hybrid role requiring work from the New York City office three days per week, with standard hours of Monday through Friday, 8 a.m. to 5 p.m. Candidates must be located in the tri-state area, with a strong preference for those in the New York City area.
Compensation is $129,780–$164,450 annually, with equity opportunities. Individual pay may vary based on experience, location, internal pay equity, and other business considerations.
Requirements
- 5+ years of previous experience as an Executive Assistant supporting C-level executives or senior management.
- Required to work from the NYC office 3 days a week and coordinate with in-person and remote executives and team members.
- Exceptional organizational skills with the ability to multitask and prioritize tasks in a fast-paced environment.
- Practices discretion and confidentiality when handling sensitive information.
- Proactive mindset and the ability to act with a sense of urgency, anticipating needs and taking proactive measures to support executives.
- Strong calendar management skills, adept at optimizing schedules and creating more bandwidth for strategic activities.
- Excellent written and verbal communication skills, with the ability to interact professionally and confidently with stakeholders at all levels.
- Proficiency and agility in computer skills, including Google Suite (Docs, Sheets, Slides, Forms), database management, and online collaboration tools.
- Strong attention to detail and accuracy, particularly in managing confidential information and preparing business documents.
- Ability to maintain composure and work effectively under pressure, handling high-stakes situations with professionalism.
- Flexibility and adaptability to changing priorities and demands, readily adjusting schedules and tasks as needed.
Responsibilities
- Anticipate the leader’s needs and proactively prepare meeting materials, briefing documents, and agenda items.
- Monitor deadlines and follow up on action items to ensure timely completion and effective decision-making.
- Be available to be reached in and outside of regular working hours as needed.
- Support the design and execution of the department All Hands meeting.
- Proactively manage leaders’ calendars, including interview scheduling, appointment prioritization, and coordination of internal and external meetings.
- Keep leaders informed of upcoming commitments and responsibilities and follow up appropriately.
- Act as a barometer for issues taking place in the environment and keep leaders updated.
- Anticipate leaders’ needs before meetings, conferences, and other engagements and identify ways to address them.
- Optimize leaders’ schedules by managing conflicting priorities and minimizing time conflicts.
- Act as a liaison between leaders and internal or external stakeholders, handling correspondence, emails, and phone calls professionally and confidentially.
- Facilitate smooth communication between leaders and internal departments while maintaining credibility, trust, and support with senior management.
- Draft, proofread, and edit business documents, including memos, reports, presentations, and emails.
- Arrange complex travel itineraries, including flights, accommodations, ground transportation, and visas.
- Coordinate logistics for onsite and offsite meetings, conferences, and events.
- Organize and maintain confidential information, documents, and files for easy accessibility and retrieval.
- Handle highly confidential information on behalf of leaders with discretion.
- Conduct research, gather data, and prepare reports and presentations to support leaders’ decision-making.
- Manage weekly expense reporting and reimbursement for leaders.
- Perform delegated tasks, including maintaining appointment calendars and handling day-to-day errands.
- Anticipate leaders’ personal needs and address unexpected situations effectively.
