As a Senior Executive Assistant, you will partner with key executives by providing high-level administrative support, assisting with complex scheduling and calendar management, preparing materials for meetings and initiatives, coordinating special projects, and serving as a liaison between department leaders, team members, clients, and vendors. You will play a critical role in supporting the day-to-day operations and strategic priorities of the CTO and CIO, contributing to the overall efficiency and success of our technology and information departments.
Requirements
- 6 years of progressive experience providing administrative support to senior-level executives.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software applications.
- Experience with Concur travel software preferred.
- Excellent communication skills, both written and verbal, with a proven ability to interact professionally and confidently with all levels of staff, clients, and external stakeholders.
- Strong organizational and time management skills, with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
- Exceptional attention to detail and a high degree of accuracy in all work.
- Ability to maintain confidentiality and exercise discretion in handling sensitive information.
- Proactive and resourceful, with a strong ability to anticipate needs and problem-solve independently.
Responsibilities
- Provide comprehensive administrative support to the CTO and CIO, including calendar management, scheduling meetings, managing travel arrangements, and processing expense reports.
- Prepare and edit correspondence, presentations, reports, and other documents for internal and external audiences, ensuring accuracy and professionalism.
- Coordinate and organize special projects, events, and initiatives as assigned by the CTO and CIO, collaborating with various departments and stakeholders.
- Act as a primary point of contact and liaison for internal and external stakeholders, screening and prioritizing communications and responding to inquiries promptly and professionally.
- Maintain and organize electronic and physical files, ensuring efficient retrieval of information.
- Assist with onboarding new team members, including coordinating equipment, access, and initial training schedules.
- Conduct research, gather data, and compile information to support decision-making and strategic planning.
- Help manage budgets, track expenses, and prepare financial reports as needed.
- Handle confidential information with the utmost discretion and integrity.
- Perform other administrative duties and special projects as requested to support the CTO and CIO's objectives.
