The Senior Executive Assistant will support the Head of US Community Relations (USCR) as well as two additional Managing Directors within Community Investing & Development (CID). The individual will handle correspondence, manage calendars, arrange meetings, video conferences and calls, make travel arrangements, support team management and coordination efforts and provide support with presentations, project management, and special projects as necessary. This role is ideal for experienced executive assistants interested in learning about and contributing to a corporate social impact function. The ideal candidate is able to prioritize and manage a range of administrative projects and project management tasks and support other organizational priorities. CID works to enhance Citi’s positive social impact through equity investing, innovative financial solutions, and strategic philanthropy.

Requirements

  • Previous office administration experience
  • Highly proficient in Microsoft Office and able to quickly gain command of new systems
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Excellent time management and prioritization skills with an ability to juggle competing demands
  • Self-motivated and detail-oriented and capacity to work independently, and as a self-starter

Responsibilities

  • Manage day-to-day calendar(s) and coordinate all aspects of scheduling, meetings, receptions and video conferences and calls for Head of US Community Relations and members of CID Senior Leadership
  • Assist with creation/modification of presentations, spreadsheets, and other documents
  • Coordinate travel arrangements; prepare and distribute schedules, agendas and any briefing materials for travel
  • Prepare, reconcile, and track corporate expense reports through Citi Travel and Expense system
  • Screen requests from internal colleagues, CID partners and external stakeholders and respond as appropriate and support manager’s participation on internal and external Boards, committees and working groups
  • Support team management efforts, including scheduling team meetings, submitting organization chart updates, and managing and updating distribution lists
  • Order supplies and process invoices through Procure-to-Pay system
  • Assist in ad-hoc reports and special projects as needed
  • Train, coach or guides other administrative staff when required
  • Provide project management and special projects support as necessary
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.
