Job Description
A full time, permanent post. An exciting opportunity has arisen for a highly professional and motivated individual to join Care Group 2 as a Personal Assistant. This role will support the Senior Leadership Team and is integral to support them in their roles.
The successful candidate will be highly organised and have excellent communication and interpersonal skills.
Duties will include the organisation of diaries, organising meetings for the team, production of confidential correspondence and reports; attending formal meetings to produce the minutes; maintenance and development of office systems and administrative processes involving IT systems.
In addition to formal secretarial qualifications, experience of Microsoft Office packages - Word, Excel and Power Point is highly essential. Experience of audio typing may be useful.
Excellent word processing/typing skills, exceptional organisational abilities and the capability to work in a confidential manner are of paramount importance in this role. The ability to communicate effectively; to work well under pressure and to prioritise the demands in a busy environment, are also essential.
Managing competing priorities and identifying quickly emerging pinch points that may impact on the performance or productivity of the Senior Leadership Team is also necessary.

Requirements
- Qualifications:
- 5 GCSEs grade C/4 or above
- RSA Word Processing / OCR Word Processing qualification
- Experience of Microsoft office suite
- Knowledge of medical terminology.
- Demonstrate working knowledge of basic IT skills, keyboard and e-mails
- Experience:
- Experience of reporting and data analysis
- Experience of working with reporting tools and KPI reports
- Producing and summarising reports using MS Excel
- Working as part of a team
- Experience of working in the NHS acute sector
- Knowledge:
- Knowledge of Trust systems, e.g Datix, Power-Bi
- Desirable Knowledge:
- Knowledge of how to run reports from Trust systems
- Skills & Abilities:
- Analysis and use of Microsoft Office Excel e.g. use of Formulas
- Microsoft packages including Word and Outlook
- Analytical and basic day to day planning skills
- Good communication and interpersonal skills
- Advanced Keyboard skills and Data Inputting
- Ability to prioritise workload and carry out duties unsupervised
Responsibilities
- Pro-active, efficient and effective diary management for appointments and meetings (face to face or on via Microsoft Teams), allowing sufficient time for team to fulfil their responsibilities.
- Where appropriate to delegate non-essential meetings to relevant members of the management team/direct reports.
- Undertake a proactive approach to planning/rescheduling meetings, and responsibility for organising multidisciplinary meetings, conferences and events as required and attend required meetings to produce minutes.
