Job Description
We are seeking a sophisticated and high-energy Personal Assistant specializing in Private Event Planning and Lifestyle Management. This is a pivotal role within a structured Private Office, requiring a professional who excels at high-stakes coordination. Event planning experience is a must. The successful candidate will be the creative and operational engine behind all private family milestones, working in close synchronization with the Travel PA and Calendar PA to ensure that the family’s social and personal life is executed with precision and five-star elegance.
Requirements
- Strict Requirement: 5+ years of professional Event Planning or high-level PA experience within a UHNW environment.
- Authorized to work in the U.S. and a valid passport for frequent international travel.
- Demonstrated ability to manage six-figure event budgets with meticulous financial reporting.
- Ability to work a flexible schedule, including weekends and holidays, to support the family’s social calendar.
- Verified references from former UHNW employers are mandatory.
- Expert Event Background: A proven track record in luxury event planning, high-end hospitality, or UHNW lifestyle management where event production was a primary focus.
- Excellent English: Essential for communicating with the family and international vendors.
- Collaborative Excellence: A personality that thrives in a team-based environment, with the ability to share information proactively with the Travel and Calendar PAs.
- Proactive Anticipation: The ability to "read the room" and preempt the needs of the Principal and their guests before they arise.
- Cultural Knowledge: Deep familiarity with traditional Jewish holidays and customs is a significant advantage for managing the family's annual event cycle.
Responsibilities
- End-to-End Event Production: Lead the conceptualization, budgeting, vendor sourcing, and "day-of" management for all private family events, including religious holidays, birthdays, and intimate social gatherings.
- Strategic Calendar Oversight: Partner daily with the Calendar PA to ensure all event timelines, setup periods, and family commitments are seamlessly integrated into the master schedule without conflict.
- Integrated Travel Coordination: Collaborate with the Travel PA to manage the
"on-the-ground" experience of all family trips. While the Travel PA secures the logistics, you design and execute the events and activities at the destination. - Vendor & Talent Management: Maintain an elite rolodex of caterers, florists, decorators, and entertainers. Negotiate all contracts and oversee on-site setups to ensure the family's privacy and standards are never compromised.
- Lifestyle & Concierge: Manage high-end personal shopping, gift procurement, and exclusive access to luxury experiences, ensuring the Principal’s personal brand is reflected in every social interaction.
- On-Site Execution: Travel domestically and internationally as the lead "Event Producer" for the family, troubleshooting in real-time and ensuring the vision planned in the office is realized on the ground.
- Team Communications: Act as the logistical bridge between the physical estate staff (Butler/Housekeeping) and the Private Office (Travel/Calendar PAs) regarding upcoming events.
