Job Description

Oklo is seeking an experienced, dynamic, technically capable Legal Executive Assistant to support the General Counsel and provide comprehensive administrative and operational support to the broader Legal team.

The role includes calendar management, meeting coordination, content and materials preparation, notary and apostille support, team travel and offsite planning, outside counsel billing and accrual management, new team member onboarding, and other administrative and operational responsibilities.

This position requires administrative excellence and the agility to navigate a fast-moving company while supporting a lean Legal function during a period of rapid growth. The successful candidate will be creative and able to leverage AI and other tools to provide support at scale.

Discretion is essential, as the Legal Executive Assistant will regularly handle highly confidential and sensitive information. The successful candidate must demonstrate sound judgment and treat confidentiality, compliance, and accountability as fundamental responsibilities.

This is a remote U.S.-based role requiring travel to Oklo headquarters in Santa Clara, California, twice per quarter based on business or team needs. The first two weeks of onboarding must be completed in person at headquarters. There is a slight preference for candidates located in the Pacific time zone.

Oklo offers a salary of $70,000-$110,000, along with flexible time off, equity, bonuses, competitive benefits, 401(k), health insurance, HSA, FSA, flexible work hours, wellness credits, and other benefits.

Requirements

  • Bachelor’s degree or equivalent experience
  • 5-8 years of proven experience as an assistant or in a similar role supporting an in-house General Counsel or broader Legal department
  • Proven experience managing calendars, executive scheduling, and travel logistics
  • Familiarity with outside counsel billing practices and e-billing platforms
  • Strong technical proficiency and the ability to quickly adapt to new tools and software, including Google Suite, Slack, Box, Atlassian, Microsoft Office Suite, and Adobe Acrobat
  • Ability to make tracked changes, add redlining and comments to documents, and create PDFs
  • Exceptional organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Ability to work in a fast-paced environment, multitask, and prioritize tasks
  • Proactive mindset with the ability to anticipate needs and challenges
  • Previous experience working in a high-growth startup is a bonus
  • Proficiency or interest in AI productivity and automation tools is a bonus
  • Discretion and integrity when handling confidential legal and corporate information
  • Knowledge of outside counsel billing practices and accrual processes
  • Ability to prioritize complex, competing demands and drive projects to completion
  • Adaptability and resourcefulness in a fast-moving startup environment

Responsibilities

  • Provide comprehensive support to the General Counsel and Legal team, including calendar management, meeting coordination, and travel arrangements
  • Coordinate meeting logistics, prepare agendas, and support cross-functional communications
  • Prepare and edit presentations, reports, and other critical documents, ensuring accuracy and timely delivery
  • Plan and arrange team meetings and offsites, including travel arrangements, events, and content
  • Support legal knowledge management by updating internal wiki pages and other company-wide materials
  • Manage legal billing operations, including outside counsel invoice processing, vendor setup, and e-billing system management
  • Assist with departmental budgeting, expense tracking, and quarterly financial accruals in coordination with the finance team
  • Facilitate onboarding for new legal team hires, including equipment setup, system access, and welcome training
  • Handle highly confidential and sensitive legal and corporate information with sound judgment and discretion
  • Leverage AI and other productivity tools to provide scalable administrative and operational support
