We’re looking for an Executive Operations Coordinator

This is not your typical EA role - we need someone who can take charge of operational tasks, bring structure and accountability to the business, and help me focus on the strategic growth of APM.

You’ll be the person who ensures things actually get done, without the CEO needing to chase or follow up on every detail.

This is a full-time role, typically 7am–4pm UK time, with some flexibility during campaigns or events.

You’ll report directly to Mark Blakey, Founder & CEO.

Requirements

  • 3-5 years experience as an Executive assistant, Chief of Staff, Project or Operations Manager
  • Strong written and verbal communication
  • Experience in a fast-paced work environment
  • Highly organized and detail-oriented
  • Comfortable following up and holding people accountable
  • Proactive and able to figure things out independently
  • Able to spot problems and suggest solutions
  • Calm under pressure and able to handle feedback

Brownie points for:

  • Experience in publishing or events
  • Experience in fast-paced online businesses
  • Experience supporting operations, sales, marketing, or content teams
  • Experience documenting processes or SOPs
  • Familiarity with tools like Asana, Sales CRMs, or email automations

The ideal candidate is confident, direct, and resilient, able to give and receive feedback from multiple stakeholders without ego. You take ownership, solve problems independently, and bring structure, clarity, and follow-through to everything you work on.

This role is best for someone confident, proactive, and comfortable in a fast-paced environment.

Responsibilities

  • Execute, track, and follow up on tasks across teams
  • Check quality of work and ensure “done means done”
  • Bring structure by documenting and maintaining SOPs and internal processes
  • Provide operational support across content, events, sales and admin workflows
  • Support the CEO with ad-hoc tasks and project coordination
