Job Description
This is a rare opportunity for an experienced Executive Assistant to step into a highly trusted, hybrid role supporting an executive within the real estate investment space and their family. This position blends strategic executive support with thoughtful personal assistance, offering variety, autonomy, and long-term potential. You will serve as a central point of coordination across professional and personal priorities, bringing structure to complex schedules, managing logistics behind the scenes, and ensuring everything runs smoothly day-to-day. Success in this role requires discretion, sound judgment, and the ability to anticipate needs before they arise. The environment is fast-moving yet respectful, and the expectations are high, but so is the level of trust and impact.
Requirements
- Experienced support professional. You bring at least three years of experience supporting senior executives in complex, fast-paced environments that blend executive and personal assistance. A bachelor’s degree is preferred.
- Exceptionally organized. You are known for keeping details straight, managing multiple priorities, and following through without reminders.
- Discreet and trustworthy. You handle sensitive information with maturity, confidentiality, and emotional intelligence.
- Effective across audiences. You write clearly, communicate confidently, and interact comfortably with a wide range of stakeholders.
- Highly accountable. You anticipate needs, think ahead, and take ownership of your work.
- Steady. You adapt easily as priorities shift and maintain professionalism at all times.
- Mobile. You have access to a personal vehicle and are comfortable supporting logistical needs as required.
Responsibilities
- Oversee dynamic calendars and daily priorities, coordinating across professional commitments and personal obligations.
- Manage email correspondence, follow-ups, and communications on behalf of the executive with professionalism and care.
- Coordinate domestic and international travel for both business and personal needs, creating detailed and well-organized itineraries.
- Prepare, edit, and organize business materials such as agendas, reports, presentations, and confidential documents.
- Serve as a key liaison between internal teams, external partners, and personal vendors to ensure seamless coordination.
- Ensure important dates, deadlines, renewals, and ongoing commitments are tracked and proactively managed for the executive and family.
- Support planning efforts for personal travel, family commitments, and longer-term projects with a proactive mindset.
- Handle ad hoc projects as they arise, exercising strong judgment and flexibility.
