The Executive Assistant provides high-level administrative and strategic support to the Vice President, Enterprise Delivery Office, Scotiabank. This role is pivotal in ensuring smooth day-to-day operations of the EDO leadership team by managing complex schedules, coordinating enterprise-level initiatives, and facilitating communications across internal and external stakeholders.

Requirements

  • Minimum of 2 years of experience as an executive assistant.
  • Advanced knowledge of Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Experience working in large, complex organizations with extensive stakeholder management.
  • Impeccable organizational skills, autonomy, and a solution-oriented attitude.
  • High level of discretion when dealing with confidential matters.
  • Strong ability to perform effectively in a complex, rapidly changing environment.
  • Solid time management, communication, and presentation skills.

Responsibilities

  • Provide calendar and time management support to executives using good judgment while coordinating and collaborating with others to balance priorities.
  • Gather, compile, verify, and analyze information for executive documents, including memos, letters, reports, speeches, presentations, and news releases.
  • Perform high-level administrative support, including drafting letters and official information releases, arranging and attending meetings, and taking and distributing minutes.
  • Monitor, review, and approve standard expenditures to ensure office activities are conducted within established budgets.
  • Manage travel arrangements for executives as required.
  • Act as the primary liaison and coordinator for department initiatives.
  • Consider the Bank’s risk appetite and risk culture in day-to-day activities and decisions.
  • Act as the Planner for the department’s Business Continuity Plan.
  • Engage in, attend, and participate in community events.
  • Support the leadership team in developing inclusive practices and a positive working environment.
  • Pursue effective and efficient operations in accordance with Scotiabank’s values, Code of Conduct, and Global Sales Principles.
