The Executive Assistant will provide high-level administrative support to the Senior Vice President, Finance & Risk Management Technology, as well as other organizational leaders. The role requires excellent organization, attention to detail, flexibility, discretion, and the ability to prioritize and multitask in a frequently changing environment while working independently with minimal supervision.
This is a hybrid, full-time position requiring a minimum of three days per week in the Tampa office. The expected salary range is $54,200–$78,000, with potential eligibility for annual short-term incentive compensation and comprehensive U.S. benefits.
Requirements
- Must be within a commutable distance of Tampa, Florida only.
- 10+ years of related experience.
- Strong PC skills, including high proficiency in Microsoft Office Suite, Outlook, PowerPoint, Word, Excel, WebEx, and internet tools.
- Extremely organized and detail-oriented.
- Exceptional customer service capabilities and the ability to work to a high-quality standard.
- Outstanding attention to detail, follow-up skills, and a proactive approach.
- Excellent organizational and time management skills, including calendar and schedule management.
- Well-developed written, verbal, communication, and interpersonal skills, with the ability to interact professionally at senior levels across functional teams.
- Ability to multitask, manage a heavy flow of meeting and information requests, and maintain a keen eye for detail.
- Self-starter who can anticipate needs, plan for contingencies, manage concurrent tasks, prioritize work, follow up, and identify opportunities to streamline processes.
- Discretion in handling confidential materials and information.
- Proper authorization to work in the country where the position is located without requiring relocation assistance.
- Experience supporting multiple senior executives preferred.
- Advanced calendar strategy and executive time optimization capabilities preferred.
- Experience preparing executive-level presentations, materials, and communications preferred.
- Experience coordinating complex travel, events, and cross-functional meetings, including hybrid and global teams, preferred.
- Strong stakeholder management across senior leadership and cross-functional partners preferred.
- Experience with light project coordination or supporting strategic initiatives preferred.
- Bachelor’s degree or equivalent professional experience preferred.
Responsibilities
- Manage Microsoft Outlook calendars, inboxes, and address books.
- Schedule and coordinate meetings and conference calls, including preparing related materials and correspondence.
- Manage travel, calendars, expense reporting, catering, meeting and town hall logistics, organizational charts, and distribution lists.
- Handle confidential and sensitive information.
- Arrange and coordinate complex travel itineraries.
- Assist with the preparation and coordination of presentations, reports, and spreadsheets by preparing and editing text, slides, and other materials.
- Assist with supply ordering, office moves, facilities requests, security requests, and related administrative needs.
- Process expense reports and vendor invoices for reimbursement, payments, and reconciliation.
- Interface with team members and clients at all levels of the organization, both within and outside the company.
- Maintain documents and records in accordance with administrative policies.
