Rillet is seeking a highly organized and proactive Executive Assistant & Office Manager to support 1-2 senior leaders while overseeing the daily operations of our San Francisco office. This high-visibility role blends strategic calendar management with hospitality, ensuring executives are fully prepared and the workplace remains a seamless environment for employees and guests alike. Based in-office 3-5 days per week, this is a unique opportunity for someone who thrives in fast-paced environments and is eager to gain broad, cross-functional exposure at a category-defining startup.

We're looking for teammates who value in-person collaboration and are within commutable distance of our offices (or willing to relocate). Most team members are required to work in-office Tuesdays and Thursdays, plus one additional flexible in-office day. Certain roles may require additional in-office time based on function.

Requirements

  • 3+ years of experience in executive support, office management, or operations, ideally within a high-growth startup, VC, or tech environment.
  • Mastery in managing complex, high-volume calendars and shifting priorities for multiple senior leaders or founders.
  • Comfortable handling confidential information with maturity and absolute discretion.
  • Able to pivot quickly from high-level strategic planning to hands-on execution (from board prep to moving furniture for an event).
  • Exceptional written and verbal communication skills; you are comfortable hosting and interacting with founders, senior executives, and investors.
  • Strong decision-making skills—you know when to escalate a situation and when to handle it independently.
  • Proven ability to juggle multiple competing priorities and keep projects moving with minimal oversight.
  • Comfortable in a rapid-growth environment where the "playbook" is still evolving.
  • Excited to work 5 days a week from our San Francisco office.

Responsibilities

  • Manage complex, high-volume calendars for 1-2 executives across time zones; proactively resolve scheduling roadblocks while optimizing for business priorities.
  • Maintain a high bar for responsiveness, providing updates and "over-communicating" to ensure the executive is never surprised by a change in plans.
  • Serve as the primary point person for the SF office; oversee facilities, repairs, security, and IT/AV troubleshooting to ensure the space is always "guest-ready" and running smoothly.
  • Welcome and host customers, candidates, investors, and partners; manage guest registration and conference room coordination to deliver a polished, high-end experience.
  • Manage relationships with all office vendors (building, janitorial, internet, repairs, etc.) and oversee the office budget for supplies and programs.
  • Develop and maintain the kitchen program, including daily snack/beverage restocking and coordinating lunch orders/catering for meetings and team events.
  • Manage office access (keys/badges) and lead the physical onboarding for new SF employees (workspace setup, equipment, and orientation).
  • Proactively update the team on maintenance schedules, outages, and office-wide relevant information.
