Job Description
We're looking for a highly organized, proactive, and detail-obsessed professional to serve as the CEO's right hand — ensuring that operations, communication, and priorities run seamlessly across both professional and personal domains. This is a dynamic role for someone who thrives in complexity, brings calm to chaos, and anticipates needs before they arise.
The ideal candidate is a systems thinker and trusted partner who values discretion, initiative, and long-term collaboration.
You will be supporting an experienced post-exit serial founder working on multiple high-impact projects, each of which is aimed at improving core areas of society and human flourishing. Core focus areas include health/longevity, education, robotics, and education.
Your compensation package will be tied to that of the CEO, thus allowing you to participate in the upside of each of his high-impact projects.
Requirements
- 3+ years of experience in executive support, operations, or chief-of-staff–type roles.
- Proven experience supporting C-level leaders or founders in fast-paced environments.
- Strong project management and systems-thinking abilities.
- Exceptional written and verbal communication; impeccable attention to detail.
- Writes/edits like a pro; can send emails/messages that sound like the CEO (eventually).
- High discretion, judgment, and emotional intelligence.
- Comfortable working remotely across time zones.
- Proficiency with Google Workspace, Notion, Asana, Slack, and Zoom.
- Familiarity with HR and finance tools (e.g., Gusto, QuickBooks, Brex, Carta).
- Advanced Excel/Sheets skills and data handling.
- Ability to learn and optimize new software quickly.
- Owner mindset with ruthless follow-through. Doesn't "help"; owns outcomes.
- Proactive problem-solver with a bias for action.
- Exceptional prioritization under uncertainty.
- Calm and clear-headed under pressure.
- Reliable, discreet, and accountable for outcomes.
- Continuous learner who improves systems and processes.
- Highly values trust and honesty within a team environment.
Responsibilities
- Manage the CEO's calendar, meetings, and travel logistics.
- Anticipate needs, streamline workflows, and manage inbox communications.
- Prepare research, materials, and briefings for meetings and strategic initiatives.
- Oversee personal logistics and household management with discretion.
- Maintain and improve company systems for documentation, contracts, and internal communication.
- Track and renew company subscriptions, tools, and software systems.
- Coordinate vendor management, reimbursements, and billing operations.
- Support budgeting, expense tracking, and reporting.
- Liaise with accountants for financial statements and tax filings.
- Manage employee onboarding/offboarding, benefits administration, and HR documentation.
- Organize team retreats and support positive company culture.
- Serve as a point of contact for customer or partner communications.
- Coordinate with internal teams to resolve issues and improve feedback loops.
- Conduct research and manage ad hoc projects and events.
- Assist with fundraising materials, investor relations, and operational initiatives.
- Manage CEO's personal calendar to ensure smooth alignment with work and all else.
- Oversee household operations, property maintenance, and vendor coordination.
- Handle personal finances and administrative tasks with complete discretion.
- Plan and coordinate personal events and travel, including logistics and itineraries.
- Source and purchase gifts, essentials, and travel items thoughtfully.
- Maintain up-to-date records for insurance, memberships, and subscriptions.
- Anticipate needs, proactively streamline CEO's daily life for greater focus and balance.
