Job Description

This is a rare and prestigious Executive Assistant opportunity supporting the Group CEO of a high-profile, global financial services and insurance organisation. The role has been designed for a commercially astute, highly organised, and resourceful senior EA who thrives in a fast-paced corporate environment at the highest level.

Acting as the CEO’s trusted business partner, you will play a critical role in facilitating seamless executive operations, strengthening governance, and fostering trusted relationships with board members, shareholders, and senior stakeholders. You will be the CEO’s first line of support across operational, strategic, and personal priorities – anticipating needs, managing competing demands, and ensuring the highest level of professionalism at all times.

This is an in-office position based in Sydney and offers the opportunity to work closely with an exceptionally direct, clear, and high-trust leader who values capability, discretion, and results.

Requirements

  • Minimum 8+ years’ experience as an Executive Assistant supporting C-suite executives or senior leaders in a corporate environment.
  • Previous experience within financial services, insurance, or another high-compliance industry is highly regarded.
  • Stakeholder expertise - demonstrated experience partnering with senior leaders, shareholders and diverse stakeholder groups - ideally within an ASX listed organisation or similarly complex, high profile environment
  • Exceptional organisational skills with meticulous attention to detail and the ability to manage multiple priorities in a high-pressure environment.
  • Strong commercial acumen and ability to operate as a strategic business partner.
  • Confident communicator with exceptional written and verbal skills.
  • Data literate/data driven - you are confident working with data to inform decisions and identify efficiences/anticipate needs
  • Advanced proficiency in Microsoft Office Suite, document management systems, and virtual collaboration tools.
  • Proven ability to handle sensitive and confidential information with discretion.
  • Professional, polished, and proactive – always anticipating needs and staying several steps ahead.
  • Thrive in an agile environment.
  • Bachelors degree in Business Administration, Communications or a related discipline or recognized professional certification highly regarded

Responsibilities

  • Provide high-level executive support to the Group CEO including complex calendar and travel management, meeting coordination, and prioritisation of competing demands.
  • Organise, prepare, and follow up on board meetings, leadership offsites, and executive reports, ensuring all materials are accurate and delivered on time.
  • Draft, proof, and edit high-level correspondence, presentations, and communications on behalf of the CEO.
  • Anticipate operational and strategic needs, proactively addressing potential issues and identifying opportunities for improvement.
  • Manage and prioritise CEO communications, including inbox management, ensuring timely and appropriate responses.
  • Coordinate and support shareholder and stakeholder engagement activities, maintaining accurate records and managing enquiries professionally.
  • Assist with governance requirements, compliance reporting, and administrative operations including budgets and expenses.
  • Build and maintain strong relationships with board directors, executives, and internal and external stakeholders.
  • Handle confidential matters with the utmost discretion and professionalism.
