Job Description
The Administration Department provides administrative and logistical support to the organization, keeping the office organized and ensuring that everything operates smoothly. The department implements policies and procedures and supports scheduling, expenses, travel and other activities that allow employees to focus on their responsibilities.
The Executive Assistant will initially support one of the Firm’s Co-Presidents, enabling them to maintain uninterrupted focus on business activities and outside ventures. This position requires an intelligent, capable individual with highly relevant experience, a high degree of responsiveness and availability, and occasional support outside standard business hours based on business needs.
This role is primarily on-site, with an expectation of consistent in-office presence aligned to business needs. The position offers a base salary range of $100,000 to $130,000 for New York, in addition to potential discretionary awards and a comprehensive benefits package. Requirements
- Bachelor’s degree required.
- Minimum of 7 years’ experience as an Executive Assistant supporting senior executives.
- Proficiency in Microsoft Office products, including Word, Excel and PowerPoint, and Apple products; previous experience using a CRM program preferred.
- Excellent verbal and written communication skills, with comfort communicating with senior executives and external business contacts.
- Ability to maintain confidentiality to the highest degree and exercise discretion in all circumstances.
- Ability to multitask using effective time management, organization and prioritization skills.
- Meticulous attention to detail and accuracy.
- Ability to perform in a fast-paced environment with high standards and a strong sense of urgency.
- Excellent business writing skills, including the ability to draft clear, well-structured and thoughtfully crafted communications.
- Strong project management skills, with the ability to own projects from start to finish, demonstrate exemplary follow-through and meet deadlines.

Responsibilities
- Provide comprehensive administrative support to the Co-President, including highly complex calendar management and coordination of internal and external meetings with other Executive Assistants.
- Proactively manage competing priorities, shifting demands and time-sensitive matters with sound judgment and confidentiality.
- Coordinate and route inbound communications to the Co-President, ensuring alignment with priorities and directing inquiries efficiently.
- Coordinate domestic and international travel arrangements, including working with an outside high-end travel agency, arranging private plane charters as needed and preparing comprehensive written travel forms.
- Maintain a detailed, organized schedule using the CRM.
- Create and maintain contacts and record call notes in the CRM for relevant meetings.
- Track, organize and submit monthly expenses.
- Facilitate and prepare agendas and materials for Senior Leader-led internal meetings and various committees and forums.
- Manage and coordinate daily office needs, including catering, meals and related arrangements for internal and external meetings.
- Participate in semi-annual department process reviews and collaborate with managers and Senior Leaders to identify improvement areas and implement best practices.
- Proactively resolve operational gaps to support leadership effectiveness.
- Develop, maintain and continuously improve process guides and operating procedures for the Co-President.
- Handle confidential and sensitive information with discretion and sound judgment.
- Provide administrative backup support to the Executive Assistant Team, including support to Executive-level offices as needed.
- Complete ad hoc projects as assigned.
